Lettings & Property Management Administrator

Simon Brien has an exciting opportunity for a Lettings & Property Management Administrator to join their established and growing team.

Simon Brien is a leading property services company in Northern Ireland with over 40 years’ experience. Its strong and well-established Lettings and Property Management department has successfully expanded for over 16+ years, currently managing over 680 residential properties. The company delivers a comprehensive, professional, and proactive service to both landlords and tenants.

As part of the Sherry FitzGerald Group, Simon Brien became a brand within Ireland’s largest property advisory network in 2024. The group boasts over 100 offices, including more than 70 franchise locations. Additionally, Simon Brien’s association with Knight Frank in Northern Ireland offers clients access to a global network of over 600 offices across more than 50 markets.


About the Role

The Lettings & Property Management Administrator plays a vital role within the team, focused on compliance, asset management, tenant relations, and long-term portfolio growth. The role supports a customer-centric approach while leveraging robust systems to ensure efficiency.

Key Responsibilities

Lettings Administration

  • Register and maintain rental property details on in-house property management software.
  • Upload property details and images to company websites and online portals.
  • Complete tenancy credit checks, ensuring accuracy and adherence to agreed timeframes.
  • Maintain full, accurate, and up-to-date records for tenants and landlords.
  • Liaise with tenants and landlords regarding viewings, applications, and follow-ups.
  • handle day-to-day enquiries related to rental properties.

Property Management Administration

  • Administer lease renewals, issuing, completing, and recording documentation.
  • Monitor statutory and regulatory compliance, including certifications and renewals, ensuring deadlines are met.
  • Proactively chase tenant rent arrears professionally and timely, escalating where necessary.
  • Complete and process housing benefit forms as required.
  • Act as a point of contact for tenants regarding arrears.
  • Support the property management team in delivering high service standards across a large portfolio.
  • Carry out additional administrative duties related to lettings and property management.

Requirements

  • Essential: Previous experience in a lettings or property management administrative role.
  • Strong communication and interpersonal skills, with the ability to interact confidently with landlords, tenants, and contractors.
  • Excellent organisational skills with a high level of attention to detail.
  • Proficient working knowledge of Microsoft Office, particularly Microsoft Excel.
  • Ability to work effectively in a fast-paced and busy office environment.
  • Proactive, self-motivated, and able to use initiative with minimal supervision.
  • Flexible and committed with a professional approach to workload and deadlines.
