About our business

With ten residential apartment blocks in eight towns and cities, we are seeking enthusiastic and motivated individuals to join our company and build upon our reputation of exceptional service delivery.
About this role
We are looking for a Lettings and Property Manager to ensure the efficient and effective day-to-day operational management and maintenance of the site, whilst delivering a customer focused service ensuring the effective management of residents inbound and outbound at start/end tenancy and throughout their tenancy. The successful candidate will work positively and proactively with the team and contractors and take pride in ensuring the building is well managed, clean, presentable and well maintained at all times in accordance with legal compliance, Health and Safety, fire regulations and associated guidance. Provide the right combination of marketing, sales and customer service support to source, qualify and secure prospective tenants for our buildings. Match property requirements, arrange and conduct viewings and negotiate the rentals and work closely with the lettings and property team to progress through to move in day ensuring correct process followed. Work positively and take pride in ensuring a warm, professional and friendly service to all incoming and outgoing tenants. The site is a new building of 110 apartments and based in Leith. Occasional work in Glasgow and Newcastle may be required to provide cover.
What you will do
You’ll strive to achieve excellence in property management, maintenance and client management and contribute to positive customer experience for tenants and visitors, whilst building strong working relationships with staff and residents and ensuring the smooth running of the building. This role reports to the Head of UK Property Management and you will be responsible for:
Property Management
- Providing day-to-day operational management, site inspections and spot checks to ensure all running smoothly, providing advice and support to the team where appropriate
- Ensuring high standards of cleaning and presentation of all internal and external communal areas
- Overseeing maintenance activities and allocating work to contractors
- Overseeing repairs to ensure completed on time and within budget
- Ensuring that buildings are always H&S and fire safety compliant
- Asset tracking and checks of stock coming in and out (furniture etc.)
- Working with the Asset Manager to ensure regulatory certificates for compliance are up to date
- Arranging PAT tests
- Booking regular inspections and organising property visits
- Maintaining records and completing administrative tasks as required
- Providing regular service updates to the General Manager

Lettings
- Build a strong understanding of the building layout, apartment types and phased completion dates
- Propose and implement marketing and promotional ideas to increase local awareness of the development
- Act as the first point of contact for prospective tenants, responding promptly and professionally to all enquiries
- Provide accurate and engaging marketing materials, and follow up with prospective tenants
- Understand tenant requirements to match them with suitable properties
- Manage and book viewings, coordinating access with current residents where required
- Conduct viewings, showcasing the benefits of the apartments and lifestyle offering
- Assess property standards during viewings
- Negotiate rental terms with support from the Portfolio Leasing Manager
- Liaise with referencing agencies, deposit schemes and third parties
- Prepare documentation and maintain accurate records across systems and portals
- Coordinate tenancy turnaround and move-in dates
- Ensure all handover documentation is completed prior to move-in
- Manage and action renewals promptly
- Provide regular progress updates to the Portfolio Leasing Manager
- Promote the development’s brand through social media and community engagement
Customer Management
- Promoting excellence in customer service and ensuring a friendly and welcoming service is provided to all visitors and residents
- Maintaining positive and productive relationships with tenants
- Managing tenant expectations with regard to property matters and efficiently handling tenancy queries, issues and complaints to resolution, following up as necessary
- Ensuring recharging of tenants for repairs/maintenance is handled carefully
- Providing effective management of tenants into and out of apartments at the end of the tenancy – target turnaround within 5 days
- Coordinating promptly with all parties when tenant's keys are available so that apartment cleaning can be initiated
- Managing access with tenants e.g. to complete maintenance
- Promoting local resident events

About you - your experience, knowledge and skills
Ideally you will have:
- A qualification in GCSE/ National 5 or equivalent in, English and Maths
- Experience of working on new builds or residential blocks would be an advantage
- Experience of planned preventative maintenance, building and grounds maintenance, auditing and quality control would be an advantage
- Experience of working with contractors and suppliers and monitoring of service standards
- Working knowledge and understanding of Health & Safety in the workplace
- Commitment to excellence in customer service
- Clear and comprehensive written skills and good numeracy skills
- Solid administration skills and use of IT and databases including good working knowledge of Excel, Word, PowerPoint and the ability to pick up new systems (In-House)
- Excellent organisation and multi-tasking skills with the correct balance of delegation and ownership of tasks
- Proven ability to handle challenging situations calmly and respectfully, whilst remaining focused under pressure.

- Listens and communicates well providing information, guidance and advice, and at times mediation
