Role Overview

We are seeking a proactive and customer-focused Lettings Call Handler to join our busy Leeds Lettings team. The successful candidate will be the first point of contact for prospective tenants, landlords, and applicants, delivering exceptional customer service while efficiently managing incoming and outgoing calls.

The role involves handling property enquiries, booking and confirming viewings, updating internal systems, and supporting the wider lettings team to ensure a smooth customer journey from enquiry through to viewing.

Key Responsibilities

Incoming Calls

  • Answer and manage a high volume of incoming calls professionally and efficiently.
  • Respond to enquiries regarding available rental properties.
  • Qualify applicants by gathering relevant information about their property requirements.
  • Book property viewings based on applicant needs and negotiator availability.
  • Provide accurate information about properties, locations, and the lettings process.
  • Handle customer queries and resolve issues where appropriate, escalating when necessary.

Outgoing Calls

  • Contact applicants to confirm upcoming property viewings.
  • Follow up on missed appointments and reschedule viewings where required.
  • Make proactive calls to prospective tenants regarding suitable property matches.
  • Contact customers to obtain additional information or documentation when required.
  • Support marketing campaigns and database management through outbound calling activities.

Administration

  • Maintain accurate and up-to-date records on the company CRM system.
  • Ensure viewing appointments are recorded correctly and communicated to the relevant team members.
  • Update customer information and notes following all interactions.
  • Assist with diary management and appointment scheduling.
  • Support the lettings team with general administrative duties as required.

Skills & Experience

Essential

  • Previous experience in a customer service, call centre, sales, or administrative role.
  • Excellent verbal communication skills.
  • Strong telephone manner and listening skills.
  • Ability to work in a fast-paced environment and manage multiple tasks.
  • Good organisational skills and attention to detail.
  • Competent IT skills, including Microsoft Office and CRM systems.
  • Professional, positive, and customer-focused approach.

Desirable

  • Previous experience within the property or lettings industry.
  • Knowledge of the residential lettings process.
  • Experience of outbound sales or appointment booking.
