Job Description

As a Lifecycle Services Spare Parts Coordinator, you will support customers throughout the complete spare-parts order process, from initial enquiry and quotation through to order fulfilment and invoicing. Working closely with customers, procurement, finance, logistics and project teams, you'll ensure orders are processed accurately, communicated effectively, and delivered on time.

This role is ideal for someone who enjoys working in a fast-paced environment where organisation, attention to detail and excellent customer service are essential. You'll play an important role in maintaining accurate ERP and CRM records, analysing sales data, supporting reporting activities and identifying opportunities to improve our processes and service performance.

Responsibilities

  • Manage customer enquiries from quotation through to order fulfilment and delivery.
  • Prepare accurate quotations and provide customers with technical and commercial information.
  • Process customer orders using ERP and CRM systems while maintaining accurate business records.
  • Coordinate with procurement, logistics, project teams and suppliers to meet customer delivery commitments.
  • Monitor order progress and proactively communicate updates or potential delays to customers.
  • Maintain accurate customer, quotation and sales information within business systems.
  • Produce sales reports and analyse trends and key performance indicators.
  • Prepare invoices for UK-only customer orders, ensuring accurate and timely billing, and collaborate with the Finance team on payment follow-up where required.
  • Contribute to continuous improvement initiatives that enhance customer service and operational efficiency.
  • Provide administrative support to the wider Lifecycle Services and Field Operations Solutions teams.

  • Previous experience in customer service, order processing, commercial administration, sales support, logistics coordination or spare parts administration.
  • Experience managing customer enquiries and processing orders from enquiry through to fulfilment.
  • Experience using ERP systems such as Oracle, SAP, Microsoft Dynamics or similar.
  • Experience working with CRM systems.
  • Experience maintaining accurate business records and working with structured business processes.

Technical Skills

  • Strong Microsoft Office skills, particularly Excel, Outlook and Word.
  • Comfortable working with SharePoint and Microsoft Teams.
  • Ability to analyse data and produce reports.
  • Strong administrative and organisational skills.

Professional Skills

  • Excellent customer service and communication skills.
  • High attention to detail and accuracy.
  • Strong organisational and prioritisation skills.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Collaborative approach with strong stakeholder management skills.
  • Problem-solving mindset and continuous improvement focus.
  • Fluent written and spoken English.

Preferred Qualifications

  • Experience within engineering, manufacturing, industrial equipment, logistics, aftermarket services or energy industries.
  • Knowledge of freight, logistics or Incoterms.
  • Experience supporting spare-parts or aftermarket operations.
  • Business Administration qualification or equivalent professional experience.
  • Experience producing KPI and sales reports.
