Job Summary
We are seeking an exceptional Lifestyle Manager to support a busy entrepreneur and family across:
- Personal logistics
- Travel coordination
- Calendar management
- Inbox & daily life operations
- Household & lifestyle efficiency
This is not a traditional office-based assistant role. Instead, it’s a high-trust, hands-on position designed for someone who thrives in a fast-moving family environment, focusing on streamlining decisions, admin, logistics and noise to allow the principal to prioritise business, family, health and high-impact work.
Core Mission
Remove friction—decision-making burden, unnecessary communications, and logistical obstacles—so the principal can operate at their best.
Key Responsibilities
1. Daily Life & Personal Operations
Proactively manage the principal’s personal operating system by:
- Coordinating daily logistics, priorities and schedules.
- Resolving errands, bookings, purchases and supplier interactions.
- Developing checklists, routines and systems to minimise disruptions.
- Enabling communications to decipher independently (e.g., emails, appointments).
- Conducting daily in-person check-ins (30-60 mins) to defragment priorities.
Expectance: Anticipation, adaptability, speed in learning preferences.
2. Calendar & Communication Management
Safeguard the principal’s time and attention via:
- Calendar protection (scheduling meetings, blocking time for deep work).
- Filtered inbox management—decluttering, drafting responses, responding when trusted.
- Proactive follow-ups to prevent critical communication slip-ups.
- Reducing indecision by deciding on behalf of the principal where appropriate.
- Managing sensitive communications gradually, as trust is earned.
Goal: Reduce complexity of communication—so fewer distractions interrupt focus.
3. Travel Management
Handling travel with effortless anticipation—flexible, cost-conscious and proactive:
- Booking flights, hotels, transport and restaurant arrangements.
- Crafting and stress-testing itineraries.
- Managing luggage, packing lists, food/accommodation views pre-journey.
- Traveling ahead of or with the principal to ensure seamless transitions.
- Adapting to unplanned issues with composure.
Expect: Comfort with unpredictability and local travel effort.
4. Household & Lifestyle Coordination
Supporting the operations around a scheduled household staff (maids, etc.):
- Household workflows: Liaising with suppliers, repairs and maintenance.
- Laundry, dry cleaning and car logistics/errands.
- Groceries and pantry stocking via weekly planning.
- Tailored food/catering (local tastes, dietary needs, meal prep).
- Smooth functionality of out-of-office stays.

5. Food, Health & Preferred Routines
Understanding and implementing very tailored systems around food, health and habits:
- Coordinating meals, groceries and introductions to preferred restaurants.
- Leaning in on medical/dental health partners scheduling/details.
- Maintaining routines (sleep, hydration, exercise) during travel or crises.
- Integrating with maid and food partner workflows.
Scope: Culinary competence—not chef responsibilities, but hands-on support when urgent.
6. Portuguese Admin & Local Support
Leveraging filar local knowledge and fluency: Handle:
- Portuguese bureaucracy: Documentation, appointments, registration.
- Car registration/toc administration.
- Doctor, school and service appointments.
- Translating, clarifying or negotiating with partners, suppliers and officials.
- Liaising with place vendors (dens, gyms, shops).
Strengths: Portuguese fluency, plus emotional intelligence navigating cultural/securicty barriers.

Technical & Practical
- Local Standard: Near Lisbon/Cascais/Oeiras, eyes experience participation.
- Portuguese: Fully fluent (speaking, writing, discreet conversations).
- Dual-lingual Alert: Strong workable English, navigatoire between dialects (when fluctuating).
- Valid Driver’s License: Preferred, and indeed practical road-use diversity.
Access/Travel flexibility: Regular work-life, partial evenings/weekends. No “lap-prep" to “non-work" concentration.
