About the Role

As part of the Lockwood Group, William West & Sons is looking for an organised, customer-focused and proactive Dispatch Office Coordinator to join our busy Transport team.

This is a fantastic opportunity for someone who thrives in a fast-paced logistics environment and enjoys working with drivers, customers and operational teams to keep transport running efficiently. You'll play a vital role in ensuring our daily transport operation runs smoothly, providing real-time support to drivers, maintaining operational systems and delivering excellent customer service.

No two days are the same, so we're looking for someone who enjoys problem solving, communicating with people and working as part of a supportive team.

Location: Lows Lane, Ilkeston (with flexibility to work from other depots when required)

Hours: Monday to Friday, 2:00pm - 10:00pm (40 hours per week)

Salary: £28,000 per annum

The Role

As a Logistics Coordinator, you'll play a key role in supporting our daily transport operation. Working closely with drivers, transport planners, warehouse teams and customers, you'll help ensure the smooth flow of information across the business while maintaining accurate operational records and providing first-class customer service.

This role would suit someone with previous experience in transport administration, logistics, dispatch or customer service who is looking to further develop their career within the logistics industry.

Key Responsibilities

  • Coordinate the day-to-day administrative activities within the Dispatch Office.
  • Act as the first point of contact for drivers, providing route information, operational updates and support throughout their shift.
  • Accurately maintain Transport Management Systems (TMS), Warehouse Management Systems (WMS) and other operational systems.
  • Process transport documentation, electronic Proof of Delivery (ePOD) and customer records.
  • Support the Transport Planning team by communicating operational changes, customer requirements and route amendments to drivers.
  • Coordinate the flow of information between drivers, warehouse teams, transport planners and customers to ensure efficient daily operations.
  • Monitor vehicle and driver activity, identifying delays or operational issues and escalating where appropriate.
  • Liaise with warehouse teams to coordinate loading schedules, vehicle departures and inbound deliveries.
  • Respond professionally to customer enquiries, providing updates and resolving transport-related queries.
  • Work collaboratively with colleagues across all Lockwood Group depots to maintain excellent service levels.
  • Produce accurate reports and maintain operational records.
  • Identify opportunities to improve administrative processes and operational efficiency.
  • Deliver excellent customer service while maintaining high levels of accuracy and attention to detail.

What We're Looking For

We're looking for someone who can remain calm under pressure, communicate confidently with a range of people and enjoys working as part of a busy operational team.

Ideally, you'll have:

  • Previous experience in transport, logistics, dispatch, administration or customer service.
  • Excellent organisational skills and the ability to prioritise multiple tasks.
  • Strong communication skills with the confidence to liaise with drivers, customers and colleagues.
  • Good IT skills, including Microsoft Office, with the ability to learn new systems quickly.
  • Excellent attention to detail and a high level of accuracy.
  • A positive, proactive and flexible approach to work.
  • Experience using Transport Management Systems (TMS), Warehouse Management Systems (WMS) or similar software would be advantageous but is not essential.
