Flex Logistics Coordinator (Maternity Cover) – Fixed-Term Role

About the Role
Location: Kent, Kendal, United Kingdom Type: Fixed-term maternity cover position
As the Logistics Coordinator at Flex UK, you will support our UK dispatch process while playing a key role in import/export activities. This position requires strong coordination between internal teams—including Production, Planning, Projects, Procurement and Sales—and key external stakeholders like clients, freight forwarders, and customs agents. You will ensure efficient, compliant, and timely deliveries, all while providing administrators and operational input into our logistics processes.
Responsibilities
The scope of your day-to-day work will include:
- Managing and overseeing outbound and inbound deliveries to guarantee on-time arrivals and departures.
- Ensuring accuracy in all shipping documentation, including:
- Delivery notes
- Commercial invoices
- Export compliance paperwork
- Dangerous goods documentation (if applicable)
- Detailed load plans
- Working closely with Project Managers and Production, scheduling collections and transport logistics efficiently.
- Managing transport arrangements to balance cost-effectiveness with service quality.
- Liaising with external clients to understand and meet delivery requirements.
- Negotiating logistics pricing, terms and freight agreements with suppliers or partners.
- Ensuring Purchase Orders (POs) are processed efficiently to align with company procedures.
- Maintaining accurate delivery records to comply with customs authorities, including HMRC audit requirements.
- Following up on all Proof of Delivery (POD) confirmations for revenue recognition.
- Preparing weekly and monthly logistics reports, including key performance indicators (KPIs).
- Supporting export and import processes where necessary.

Requirements & Skills
Key Experience Required
- Intermediate proficiency in Microsoft Excel (data management, basic formula usage).
- Strong interpersonal and communication skills, both written and verbal.
- The ability to work independently and as part of a cross-functional team.
- Strong numerical and analytical capabilities with an eye for precise detailing.
- Excellent organisational skills with a focus on keeping documentation structured and accessible.
- Ability to manage multiple priorities under tight deadlines with a calm and logical approach.
Niched Skills (Optional but Valued)
- Experience in international logistics or customs process.
- Exposure to 3PL (third-party logistics) coordination.
- Understanding of global trade regulations (e.g., HS codes, customs declarations).
