Logistics Coordinator

Location Based at Unit 1 Mallusk View, BT36 4FR (travel may be required to all sites)

Reporting to Head of Transport

The Role

As a Logistics Coordinator at Vyta, you are responsible for planning, scheduling, and coordinating collection operations across Northern Ireland and the Republic of Ireland, ensuring customer collections are delivered safely, efficiently, and in accordance with operational, environmental, and data security requirements.

You act as the key link between customers, collection crews, warehouse operations, and the Head of Transport, ensuring collections are effectively planned and executed while supporting wider UK and European logistics activities where required.

Key Responsibilities

Collection, Planning & Customer Coordination

  • Plan, schedule, and coordinate collection activities across Northern Ireland and the Republic of Ireland.
  • Allocate vehicles and resources to meet customer requirements and operational priorities.
  • Act as the primary point of contact for collection scheduling and customer coordination.
  • Ensure collection crews receive complete and accurate information prior to attending customer sites.
  • Maintain accurate customer, contact, site, and access information within operational systems.
  • Coordinate capacity requirements, including vehicles, cages, containers, and warehouse availability.

Fleet, Compliance & Operational Support

  • Coordinate vehicle servicing, inspections, MOTs, LOLER examinations, and maintenance requirements.
  • Monitor vehicle defects and ensure corrective actions are completed.
  • Maintain records relating to driver licenses, training, qualifications, and compliance documentation.
  • Monitor vehicle tracking, telematics, and camera systems to support operational performance and compliance.
  • Support the planning and coordination of UK and European collections as required.
  • Coordinate travel, accommodation, and logistical arrangements to support operational activities and projects.

Environmental, Customer & Regulatory Compliance

  • Maintain records relating to waste movements and environmental compliance requirements across Northern Ireland and the Republic of Ireland.
  • Prepare and maintain waste transfer documentation, manifests, consignment notes, and associated compliance records.
  • Support customs administration and documentation for cross-border movements.
  • Escalate operational, compliance, customs, or regulatory issues that may impact service delivery.

Data Security & Quality Standards

  • Ensure collection and transportation activities comply with Vyta's chain-of-custody and data security requirements.
  • Maintain accurate operational records and supporting documentation across all logistics activities.
  • Monitor receipt of collected assets into warehouse operations and investigate discrepancies.
  • Support audits, investigations, and corrective actions where required.

Performance & Process Improvement

  • Monitor operational performance and identify opportunities to improve efficiency and service delivery.
  • Support the development of improved tracking, reporting, and asset control processes.
  • Contribute to operational improvement projects and initiatives.
  • Promote consistency and best practice across collection and logistics activities.

Health, Safety & Operational Standards

  • Promote safe working practices across all logistics and collection activities.
  • Support compliance with health, safety, and environmental requirements.
  • Conduct periodic checks of vehicles, equipment, and operational areas to ensure standards are maintained.
  • Escalate safety concerns, operational risks, and non-compliance issues appropriately.

Essential Criteria

  • Strong organisational and planning skills, with the ability to manage multiple priorities in a fast-paced environment.
  • Excellent communication and interpersonal skills, with the ability to build effective working relationships with customers, colleagues, and external stakeholders.
  • High attention to detail and accuracy when managing information, records, and administrative processes.
  • Ability to work independently, solve problems, and make sound decisions within agreed parameters.
  • Competent in the use of Microsoft Office and business systems, with the ability to learn new technologies and processes quickly.

Desirable Criteria

  • Experience working in a logistics, transport, service delivery, or operational coordination role.
  • Knowledge of vehicle compliance, fleet administration, or transport planning activities.
  • Experience working with environmental compliance documentation, customs processes, or regulated operational environments.
  • Knowledge of Northern Ireland and Republic of Ireland transport, logistics, or waste management operations.
