The Role

We are seeking a motivated and organised Logistics & Freight Forwarding Coordinator to join our Belfast Logistics team.

The successful candidate will play a key role in supporting the day-to-day operations of our freight forwarding department, coordinating the movement of cargo across road, sea, and air freight services. This position involves customs processing, customer account management, supplier liaison, quotations, invoicing, and ensuring the smooth delivery of shipments from origin to destination.

Working within a fast-paced and customer-focused environment, the successful candidate will contribute to maintaining the high levels of service and operational excellence for which Doyle Shipping Group is recognised.

Key Responsibilities

  • Process and manage import and export customs clearances in accordance with UK/NI regulatory requirements.
  • Ensure adherence to operational procedures relating to job costing, accruals, invoicing, shipment file completion, and general administration.
  • Liaise with suppliers, shipping lines, airlines, hauliers, and logistics partners to obtain competitive rates and service solutions.
  • Support road freight, sea freight, air freight, and project forwarding operations.
  • Prepare and issue customer quotations and manage customer enquiries efficiently.
  • Develop and maintain strong relationships with existing customers and identify opportunities to support business growth.
  • Manage designated customer accounts, ensuring shipments are tracked and completed to agreed service levels.
  • Coordinate collections, deliveries, and proof of delivery (POD) documentation.
  • Investigate and resolve operational issues, service failures, and invoice queries in a professional and timely manner.
  • Maintain accurate records and update company systems as required.
  • Perform invoicing, filing, and other general administrative duties to support the logistics team.

Essential Requirements

  • Exceptional organisational, planning, and problem-solving skills.
  • Strong attention to detail with a high degree of accuracy and numeracy.
  • Excellent communication and telephone skills with a professional customer-focused approach.
  • Strong administrative and customer service experience.
  • Proficiency in Microsoft Office applications, particularly Excel, Outlook, and Word.
  • Self-motivated with the ability to work independently and as part of a collaborative team.

Desirable Requirements

  • Previous experience within freight forwarding, logistics, shipping, transport, or customs operations.
  • Knowledge of customs procedures and import/export documentation.
  • Experience dealing with road, sea, or air freight movements.
  • Familiarity with freight management or customs software systems.

Training will be provided for the successful candidate.

Salary: Negotiable, depending on experience.
