Luxury Patient Coordinator
Location
Dr Ana The Skin Clinic – Edgbaston, Birmingham
Salary
£28,000–£32,000 per annum (dependent on experience) + performance bonus
Hours
Full-time (40 hours per week)
This role includes a mixture of daytime and evening shifts, together with occasional Saturdays on a rota. There is also the opportunity, if desired, to work at our Stratford-upon-Avon clinic from time to time as our business continues to grow.

Dr Ana The Skin Clinic is an award-winning, doctor-led luxury aesthetics clinic, recognised for delivering exceptional patient care, natural results and an outstanding five-star experience. We combine advanced medical treatments with luxury service, ensuring every patient feels valued from their very first enquiry through to their long-term treatment journey.
As our clinic continues to expand, we are looking for an exceptional Patient Coordinator to become the face of our flagship Edgbaston clinic.
This is far more than a receptionist role. We are looking for someone who is proactive, organised, confident and passionate about providing outstanding customer service whilst supporting patients through their aesthetic journey.
The Role
You will be the first impression of our clinic, responsible for delivering a warm, professional and polished experience both in person and remotely.
You’ll coordinate appointments, manage patient enquiries, support our clinicians, maintain smooth day-to-day clinic operations and help convert enquiries into lifelong patients.

No two days are the same, so we’re looking for someone who enjoys working in a fast-paced environment and can confidently manage multiple priorities while maintaining exceptional attention to detail.
Key Responsibilities
- Welcoming patients and visitors with warmth and professionalism.
- Managing telephone calls, WhatsApp conversations, emails and online enquiries.
- Booking consultations and treatments whilst optimising clinician diaries.
- Supporting patients through treatment plans and memberships.
- Processing payments and finance applications.
- Assisting with luxury skincare and retail sales.
- Maintaining accurate patient records using Pabau.
- Coordinating follow-ups, recalls and patient communications.
- Supporting the doctors and therapists to ensure seamless clinic operations.
- Maintaining immaculate reception and waiting areas.
- Assisting with administrative and operational projects as the clinic grows.
About You
We’re looking for someone who genuinely enjoys working with people and naturally delivers exceptional customer service.
The ideal candidate will have:
- Experience within private healthcare, aesthetics, cosmetic dentistry, luxury hospitality or another premium customer-facing environment.
- Excellent communication skills.
- Outstanding organisation and attention to detail.
- Confidence using technology and learning new systems.
- A calm and positive approach under pressure.
- Strong initiative and problem-solving ability.
- Professional presentation and impeccable standards.
- A genuine interest in aesthetics, skincare and luxury healthcare.

Experience within aesthetics or using Pabau is advantageous but not essential, as full training will be provided.
