Position Title: Mailroom Coordinator

Role Purpose:
To ensure that effective facilities management activities are provided on site in accordance with the contract specification and agreed service levels. Develop and maintain a positive relationship with the client, customers, and vendors.
Core Responsibilities:
- Assist and/or manage as required day to day running of the mailroom
- Sorting and distribution of incoming mail and deliveries according to site processes
- Arranging DHL and courier collections
- Franking of outgoing mail
- Collection of mail from around the building
- Provide cover as required for Front of House
- Assist client with onsite tasks such as parking, first aid, and fire marshall admin
- Work within a ‘one team’ approach to assist team members as required
- Documentation management on C&W systems, e.g. FAMIS 360, Meridian, SharePoints, etc.
- Raise, update, and review tickets within CAFM system – FAMIS 360
- Emergency reporting as part of BIA, BCP, and Evacuations
- Build and maintain a strong positive relationship with the client, customers, and vendors, maintaining and promoting excellent service
- Network with the EMEA team to provide best practice
- Purchase Order Processing and invoice queries
- Work to health & safety processes and procedures set out by C&W and legislative law
- Participate in the development and roll out of policies and procedures that affect the use of supplies and facilities
- Initiate interventions to solve problems in the facilities
- Initiate an active campaign on safety measures in the building
- Understand escalation process both on client and C&W side for reporting all operational and risk issues
- Respond appropriately to emergencies or urgent issues as they arise
- Provide operational support for Local FM and Client Real estate team
- Assist as required with building inspections inline with service agreement
- Assist as required on building moves and move management projects

Qualities and Personal Attributes:
Essential (unless noted as Desirable)
Qualifications:
- Proven relevant experience if no formal higher education
- Knowledge Health & Safety legislation relevant to FM industry
- Previous facilities experience required
Skill and Experience:
- Good communication / negotiation skills
- Experience of developing strong client relationships
- Use of MS Office programs, internal systems, and databases
