About the Role
Reporting to the Maintenance Manager, you will provide comprehensive administrative support to the Maintenance Department, ensuring the efficient coordination of maintenance activities across the resort.
This varied role requires:
- Excellent organisational skills
- Attention to detail
- Ability to manage multiple priorities
- Strong relationships with colleagues, contractors, suppliers, and other departments
Key Responsibilities
- Provide day-to-day administrative support to the Maintenance Manager and team
- Manage maintenance requests from Opera, email, and other reporting channels, ensuring accurate logging, prioritisation, and effective communication
- Coordinate and maintain:
- Maintenance work schedules
- Servicing calendars
- Planned preventative maintenance records
- Support departmental purchasing by:
- Raising orders
- Maintaining accurate expenditure records (under the oversight of the Maintenance Manager)
- Process invoices and supplier payments, liaising with the Finance Team to resolve discrepancies and maintain financial integrity
- Maintain accurate records of:
- Statutory inspections
- Compliance checks
- Servicing certificates
- Maintenance documentation
- Coordinate external contractors, ensuring all necessary documentation—insurance certificates, permits, and compliance records—are received before works commence
- Support the Maintenance Manager in tracking ongoing projects, repairs, and planned works across the resort
- Attend departmental meetings:
- Take minutes
- Support follow-up actions
- Liaise with Heads of Department and operational teams to:
- Gather maintenance requirements
- Provide progress updates
- Support stock control processes, including stock takes when required
- Maintain accurate filing systems and records in line with Company procedures and legal requirements
- Deliver a professional, friendly service when interacting with:
- Guests
- Team members
- Suppliers
- Contractors

Hours of Work
- Part-time: 25–30 hours per week
- Schedule: Monday to Friday
- Flexibility may be required to support business needs
Pay
£13.50 per hour
Qualifications and Requirements
What We’re Looking For
Candidates should demonstrate:
- Previous administrative experience, ideally in maintenance, facilities, engineering, property, or operational environments
- Excellent organisational and planning skills
- Confidence in managing multiple tasks and changing priorities
- Strong attention to detail
- Comfortable using:
- Computer systems
- Microsoft Office Suite
- Departmental software
- Exceptional communication and relationship-building abilities
- Self-motivated and proactive, with the ability to work independently
- Commitment to quality service and support
- Rigorous maintenance of confidentiality and professionalism
