Maintenance Coordinator

Role: Maintenance Coordinator

About the Company

Lindum BMS is the Group’s Building Maintenance Services (BMS) division. The BMS team specialises in:

  • Smaller construction projects up to £2m
  • Planned and reactive minor works
  • Maintenance jobs

Location & Role Summary

This position is based in Lincoln, working within the Maintenance Team at our office in North Hykeham. Primary Goal: To provide support for general administrative tasks, assisting the team with efficient project management.


Key Responsibilities

Client & Office Administration

  • Handle client enquiries, including:
    • Transferring calls, emails, and taking messages
    • Acknowledging job assignments and providing updates on live projects
  • Maintain job ticket documentation, including:
    • Close-off details on completion
    • Updating client portals
  • Generate and issue quotations
  • Produce meeting minutes and other documentation
  • Assist with general office support, covering absences for training, holidays, or sickness

Internal & External Liaison

  • Coordinate with subcontractors for real-time job updates
  • Oversee invoicing of completed jobs

Working in a Dynamic Environment

  • Work flexibly under pressure, multitasking to meet deadlines
  • Proactively manage a variable workload across multiple concurrent projects
  • Operate with minimal supervision and self-initiate tasks without constant direction

Requirements

Essential Criteria

  • Proven administrative experience (e.g., office coordination, project support, or similar)
  • Experience working in a facilities, maintenance, or building-related role
  • IT literacy with strong proficiency in:
    • Microsoft Word (document formatting, reports)
    • Microsoft Excel (spreadsheets, basic calculations)

Employment Details

  • Full-time role (8.30 am to 5 pm), Monday to Friday
  • Location: Head Office, North Hykeham, Lincoln
