Role Overview

As a Managed Services Payroll Specialist, you will act as the dedicated payroll expert for a portfolio of customers, delivering an exceptional outsourced payroll service whilst providing trusted payroll advice and guidance throughout the payroll lifecycle.

Working within HiBob's Managed Services Bureau, you will manage multiple complex UK payrolls across a diverse customer base, ensuring every payroll is delivered accurately, compliantly and on time.

This role goes beyond payroll processing. You will become a trusted advisor to customers, using your extensive UK payroll expertise to interpret legislation, resolve complex payroll scenarios and provide practical recommendations that help customers make informed payroll decisions.

Main Deliverables

  • Own the end-to-end delivery of multiple complex UK payrolls, ensuring every payroll is processed accurately, compliantly and within agreed service levels.
  • Act as the payroll subject matter expert for customers, interpreting UK payroll legislation and providing clear, practical advice on complex payroll scenarios and statutory obligations.
  • Develop trusted relationships with customers through proactive communication, legislative guidance and consultative support that delivers confidence in their payroll operation.

Success in the Role

You'll be successful in this role if you:

  • Have spent the majority of your payroll career working within a UK payroll bureau or outsourced payroll environment.
  • Enjoy managing multiple customer payrolls simultaneously in a fast-paced environment.
  • Are recognised as the payroll expert within your team and enjoy solving complex payroll problems.
  • Take pride in providing customers with practical payroll advice, not just processing payroll accurately.
  • Enjoy staying up to date with UK payroll legislation and helping others understand it.

Role & Responsibilities

  • Manage a portfolio of multiple concurrent payrolls across customers of varying size and complexity.
  • Accountable for delivery of complete end-to-end payroll processing including validation, reconciliation, approval, submission and post-payroll activities.
  • Provide consultative payroll guidance, helping customers understand legislative requirements, payroll best practice and the impact of payroll decisions.
  • Interpret and apply complex UK payroll legislation, ensuring compliance with HMRC requirements and statutory obligations.
  • Advise customers on statutory payments including SMP, SPP, SAP, ShPP, SSP and other parental leave scenarios.
  • Process complex payroll calculations including salary sacrifice arrangements, irregular earnings, retrospective adjustments and manual calculations where required.
  • Manage payrolls containing multiple pension schemes, contribution structures and pension providers, ensuring compliance with Auto Enrolment legislation.
  • Process Benefits in Kind and payroll benefits, including P11D reporting, payrolling of benefits and Class 1A National Insurance considerations.
  • Support payrolls containing employee share schemes and equity compensation, ensuring accurate taxation and reporting in accordance with HMRC guidance.
  • Manage complex payroll reconciliations including HMRC liabilities, EPS/FPS submissions, year-end processing and customer payroll balancing.
  • Analyse payroll outputs to identify anomalies, investigate discrepancies and recommend appropriate corrective action.
  • Work collaboratively with Customer Success, Product, Engineering and Payroll Operations to resolve customer issues and improve service delivery.
  • Mentor colleagues by sharing payroll knowledge, legislative updates and bureau best practice.
  • Contribute to payroll documentation, knowledge management and continuous improvement initiatives across Managed Services.

Requirements

  • Extensive UK payroll bureau experience, typically gained over 8–10+ years in a payroll bureau, managed services or outsourced payroll environment.
  • Significant experience managing multiple concurrent payrolls across a portfolio of customers.
  • Demonstrable experience operating as a Senior Payroll Specialist, Senior Payroll Advisor or equivalent, acting as a subject matter expert within your team.
  • Expert knowledge of UK payroll legislation including PAYE, National Insurance, statutory payments, Real Time Information (RTI) and HMRC compliance.
  • Strong experience managing complex payrolls for medium and enterprise organisations with varied payroll requirements.
  • Extensive experience working with multiple pension providers and Auto Enrollment legislation.
  • Extensive experience processing payroll benefits and Benefits in Kind, including payrolled benefits, P11D reporting and Class 1A National Insurance.
  • Demonstrable experience processing employee share schemes, equity compensation and associated payroll tax implications.
  • Strong understanding of complex payroll calculations including salary sacrifice arrangements, irregular earnings, retrospective adjustments and manual calculations.
  • Excellent understanding of payroll taxation including directors' NI, student loans, postgraduate loans, attachment of earnings, off-cycle payments and termination payments.
  • Strong experience reconciling HMRC liabilities, resolving complex payroll discrepancies and completing year-end payroll activities.
  • Ability to confidently interpret payroll legislation and communicate technical payroll concepts clearly to both payroll professionals and non-payroll stakeholders.
  • Exceptional organisational skills with experience managing multiple deadlines within a fast-paced bureau environment.
  • Proven ability to build trusted customer relationships through a consultative and advisory approach.
