The Role
To ensure an efficient and effective support service by providing a comprehensive confidential secretarial and administrative service across the whole range of the Management Team Remit.
The working pattern for this role is Wednesday Afternoon, Thursday and Friday (all day) - start/finish time negotiable.
In This Key Role, You Will
- Provide a comprehensive, high calibre secretarial and administrative service to the Management Team to support the locality business agenda. A full secretarial and administrative service will include production of letters and reports, drafting routine correspondence, and collating information as required.
- Manage diary commitments and schedule meetings by liasing with a wide range of staff both internal and external to the NHS to ensure that the Management team business is progressed.
- Manage incoming and outgoing correspondence and telephone calls including prioritising of workload including distribution of mail, initiating action required and setting/noting deadlines for the return of information/replies. Following up of delayed responses and self-initiating replies to ensure appropriate and timeous responses.
- Create and maintain databases for a variety of management team information requirements including absence management and local training data. To produce reports on a regular basis to inform the management team in it’s delivery of performance management objectives.
- Receive and redirect enquiries including initial complaints which can be highly sensitive and contentious. This will require a degree of tact and diplomacy and an awareness of the formal complaints procedures and a good knowledge of local services and issues.

What You'll Bring
- Professional qualification i.e. HNC in a relevant discipline (Business Admin/Secretarial Studies/Public Administration) or equivalent previous experience in a secretarial role (ie at least 5 years experience as a department/personal secretary)
- Well-developed interpersonal skills in customer care.
- Excellent communication skills.
- Good organisational and planning skills.
