About the Role

The Manager of Resident Retention will lead initiatives to optimise lease renewals across multiple (5+) assigned real estate communities, manage social media engagement, and collaborate with property management and other departmental teams to address resident concerns. This role ensures excellent customer service, fosters positive resident experiences, and drives resident satisfaction and retention.


Key Responsibilities

Lease Renewal & Retention

  • Proactively engage with residents whose leases are nearing expiration, negotiating and securing lease renewals.
  • Execute weekly renewal messaging to residents with expiring leases via email, Microsoft Teams, and Yardi memos.
  • Draft, review, and execute all lease renewal agreements, including updated pet records, parking charges, and renter’s insurance requirements.
  • Monitor competitive advantages of assigned communities, ensuring awareness of local market conditions, apartment home trends, and competitor offerings.
  • Develop strategies for improving resident satisfaction and contribute ideas to Property Managers for marketing optimisation.

Customer Service & Resident Communications

  • Assist residents via phone, email, and in-person interactions to address questions and service requests with a kind, courteous, and respectful demeanour.
  • Establish solutions to resident concerns and follow through to ensure high levels of satisfaction.
  • Maintain awareness of Berkshire’s Customer Satisfaction Program for residents and prospects, helping the team meet customer satisfaction score goals.
  • Draft resident communications that align with Berkshire’s branding standards, are grammatically correct, and free of errors.

Social Media & Marketing Coordination

  • Partner with the marketing team to develop, implement, and monitor social media content for assigned properties.
  • Act as a Social Media Ambassador, ensuring Berkshire’s brand is represented authentically and positively across platforms (Apartment Ratings, Google, Yelp, etc.).
  • Identify and summarise positive and negative feedback trends in online reviews and communicate findings to Property Managers and leadership.
  • Collaborate with marketing, property management, and functional teams to develop strategies that drive positive reviews and reduce negative feedback.

Engagement & Event Strategy

  • Work with onsite teams to launch resident retention programs, coordinate, and host appreciation days and special events.
  • Gather resident feedback on events and recommend enhancements to Property Management and leadership teams.
  • Actively promote Berkshire Perks Program within assigned communities.
  • Monitor and provide feedback on internet advertising/marketing campaigns affecting assigned properties, ensuring strategies align with goals.

Data & Reporting

  • Manage and communicate lease renewal data, along with resident and prospect feedback metrics, for reporting purposes.
  • Understand Berkshire’s Performance Matrix and the leasing team’s contribution to achieving target Matrix points.
  • Maintain awareness of budgeted occupancy, revenue, and leasing goals necessary to meet financial objectives.

Operational & Collaborative Tasks

  • Operate within company policies, Fair Housing, ADA, FCRA, and all relevant apartment community laws.
  • Routinely check and respond to email, voicemail, Microsoft Teams messages in a timely manner.
  • Collaborate with the revenue management team to support Yieldstar Rent Revenue Management Systems, as applicable.
  • Align with Berkshire THRIVE/ESG initiatives and work with the sustainability team to highlight ESG-related efforts as part of resident retention strategies.
  • Assist in Yardi reporting, market surveys, and other Property Manager responsibilities as needed.

Leadership & Ethics
