About the role and about You:

At Zwift, where play meets performance, our workspaces should feel just as dynamic as our game. As our Workplace & Facilities Manager you will confidently own the daily operations of our UK hubs with complete self-sufficiency. We are looking for a proactive optimiser who will actively challenge the status quo, overhauling current office processes to build a more streamlined operation. You will seamlessly align with local teams and global leadership across IT, People, Legal, and Finance to champion a safe, collaborative, and fun environment for our Watopians!

What you’ll do:

Facilities & Office Management

  • Owner of the UK workspace environments and confidently driving day-to-day decisions with the support of the Senior Manager, People Experience & Talent.
  • Oversee daily operations for both our London and Guildford offices, with a key focus on our London office.
  • Proactively audit, overhaul, and optimise current office processes and workflows to eliminate inefficiencies and scale UK workplace operations.
  • Act as a highly resourceful problem solver, independently navigating ambiguity and resolving complex facilities issues before escalating to the Senior Manager, People Experience & Talent.

Overall vendor and supplier management (including elevators, fire doors, air conditioning, water treatment, utilities, plant sitters, storage, health & safety contractor, security including alarm monitoring and Brivo):

  • Managing spreadsheet for contract expiries.
  • Managing contracts ensuring sign off by VP/Legal.
  • Overall management of UK Watopian Workplace tracker which includes key, access card / Brivo, locker, new starter induction, fire training, health & safety training, health & safety handbook, emergency contacts.
  • Main point of contact with the landlords.
  • Key responder on ask-workplace-uk channel.
  • Liaising with IT for the setup of new joiner workstations (if applicable).
  • Supporting with budget management for UK offices including approving invoices.
  • Completing and submitting own office card expense report.
  • Managing Business Rates with local hotel, recommending this to employees when staying in London.

Workplace Experience & Culture

  • Act as the face of the Workplace team, providing exceptional support to our team and creating a welcoming and Zwifty environment. This specifically includes:
    • Answering the door and greeting visitors, ensuring they sign the NDA and fire safety agreement.
    • Being the first point of contact for all shipping and receiving.
  • Collaborate and align regularly with global Workplace, People, and IT counterparts (in the US and Brasil) to ensure UK operations and culture initiatives reflect global standards while maintaining local relevance.
  • Ensure all workplace events and culture initiatives are inclusive, accessible, and celebrate the diverse backgrounds of the Watopian community.
  • Lead on UK office events, including responsibility for the annual holiday and summer parties, office socials, and team-building activities.
  • Ensure all common areas, meeting rooms, kitchens and the gym are impeccably maintained, fully stocked, and representative of the Zwift brand.
  • Manage employee onboarding and onboarding process in liaison with People and IT. This includes all new hire office tour and introductions.
  • Order UK employee gifts for Watopian life events. For example, parental leave and weddings. Leaver cards where appropriate.

Health, Safety & Environment (HSE)

  • Support with Ensure both UK offices remaining fully compliant with local Health & Safety legislation, including our overall Health & Safety policy, Testing (MEP) equipment compliance, Fire Safety and First Aid certifications. This includes:
    • Managing practice fire evacuations.
    • Conduct regular floor walks and safety audits to identify and mitigate potential hazards.
  • RAMS (Risks and Management Systems)

People Management

  • People Management of the Workplace Supervisor
  • Supporting the Workplace Supervisor where required with:
    • Answering the door and greeting visitors
    • Shipping parcels
    • Replenishing office supplies including snacks, stationery and bathroom supplies

What we’re looking for:

  • Strong computer skills with high proficiency in Google Docs and Gmail.
  • A proactive, forward-thinking mindset with a proven track record of identifying operational bottlenecks and implementing creative process improvements.
  • A highly self-sufficient operator with a "figure-it-out" mentality; comfortable running regional operations with minimal daily supervision.
  • Previous experience as an Office Manager.
  • Must be able to lift 22kg comfortably.
  • Comfortable with occasional weekends/evenings/travel required for events.
  • An interest in sports or fitness.

Bonus points:

  • Experience working at a technology, game, or fitness company.
