Job Description

We are seeking a highly organised and proactive Marketing Coordinator to support the daily operations of two BaxterStorey sites. This is a fast-paced role blending marketing, communication, reporting, HR support, and administrative coordination.

You will serve as a central support hub for site management, kitchen teams, and front-of-house (FOH), ensuring that information, data, and systems remain accurate, timely, and effectively connected across both internal teams and clients.


Key Responsibilities

Marketing & Communications

  • Plan and execute monthly marketing initiatives for both sites, utilising BaxterStorey-branded and self-generated content
  • Design digital marketing materials, branding assets, and site-specific campaigns
  • Format and upload digital menus to ** 몬터레이 TV screens** and client intranet platforms
  • Post regular updates on client communication channels, collaborating with client teams during monthly touchpoints
  • Managing shared marketing cloud storage and leading weekly marketing meetings with site managers
  • Assisting with ad-hoc projects—including new concept development, menu refreshes and branding updates
  • Designing and distributing quarterly hospitality and experience brochures
  • Overseeing the maintenance of internal client-facing websites (Source), ensuring content is updated (menus, marketing info, site details)

Trackers, Data & Reporting

  • Maintain sales, labour, and operational trackers for both sites to ensure accuracy
  • Analysing discrepancies and escalating issues to management when necessary
  • Developing new trackers to support kitchen, FOH, and management requests
  • Updating stock sheet masterpages with supplier pricing adjustments
  • Contributing marketing content, retail highlights, and periodic site updates to monthly client reports
  • Preparing quarterly and annual reporting data, including financial analysis relevant to the business
  • Designing ad-hoc presentations (via PowerPoint) and proposals using tracker insights
  • Distributing monthly cost-of-sales reports for leadership review

HR, Payroll & Onboarding

  • Completing weekly timesheets and maintaining labour allocation trackers
  • Handling all partner manager (PM) and client onboarding through Access Recruitment, following strict confidentiality protocols
  • Managing onboarding HR documentation (probation letters, performance records, personnel files)
  • Ensuring compliance with recruitment procedures and maintaining data security

Systems & Technology

  • As the primary till support contact for Kanpla systems, handling product updates and troubleshooting
  • Assisting FOH teams with daily menu uploads and marketing content management on Scala
  • Supporting nutritional labelling (via Nutritics) and assisting with inventory maintenance
  • Offering IT support for all site technology issues

General & Administrative Support

  • Accurately recording and distributing meeting minutes from internal and client sessions, ensuring action closure
  • Providing on-demand administrative assistance to site management

Key Requirements

  • Highly organised with a sharp eye for detail
  • Ability to balance multiple responsibilities across marketing, operations, and administration
  • Strong IT skills, including Microsoft Excel, PowerPoint, and proficiency in digital tools (e.g. cloud platforms, databases)
  • Excellent verbal and written communication to effectively relay reports and guidelines
  • Proactive, adaptable, and capable of collaborating with various teams across two sites
  • Experience in hospitality, contract catering or fast-paced operations is strongly preferred
