Working Hours

  • 40 hours per week, 08:00–17:00, with flexibility around event schedules

Work Pattern

  • Full-time, with flexibility as needed

Travel Requirements

  • Regular travel to events, conferences, and between offices

On-Call / Shift Work

  • Occasional out-of-hours work around live events

Special Conditions

  • Right to work in the relevant location (UK or Canada)

Purpose of the Role

Help TrustFlight build and nurture its community of aviation professionals through events and online communities that generate pipeline and support revenue growth. This role supports the planning and delivery of webinars, conferences, and community initiatives that strengthen customer and industry relationships, generate qualified leads, and build foundational skills in community and event marketing.

Scope & Decision-Making Authority

  • Owns day-to-day coordination and logistics of assigned events and community activities.
  • Escalates event budgets, venue contracts, and partnership decisions to the Senior Director of Marketing.
  • Coordinates across marketing, sales, and customer success to align events with wider goals.
  • Covers TrustFlight's community and event activity across global markets and channels.

Key Relationships

Internal

  • Marketing team — daily collaboration on event planning and community programmes.
  • Sales & Customer Success — coordinating attendee lists, invitations, and follow-up.
  • Senior Leadership & Product — supporting speaker prep and content for flagship events.

External

  • Venues, suppliers, and event agencies — coordinating logistics and deliverables.
  • Industry associations and partners — collaborating on joint events and sponsorships.
  • Customers and community members — day-to-day engagement, support, and relationship-building.

Key Responsibilities

  • Coordinate logistics for webinars, conferences, trade shows, and community events end to end.
  • Manage event communications including invitations, reminders, and post-event follow-up that converts attendees into pipeline.
  • Support the growth and moderation of TrustFlight's online community channels.
  • Track event registrations, attendance, and lead capture in the CRM, and help report on event-sourced pipeline and marketing-touched won deals.
  • Use AI tools to streamline event admin, draft communications, and analyse feedback.
  • Coordinate with suppliers and partners to ensure events run smoothly, on budget, and deliver strong return on investment.

Key Metrics for Success

  • Deliver assigned events on time, on budget, and to a high standard within the first 6 months.
  • Help ensure at least 50% of won deals carry a marketing touch by growing event-sourced and event-influenced pipeline within the first year.
  • Grow qualified leads and meetings generated from events and community activity year-on-year.
  • Take full ownership of at least one recurring, pipeline-generating event or community programme by month 12.

AI & Digital Competency

Tier 1 — AI User

  • Uses AI-assisted tools in daily workflows
  • Confidently uses AI features in existing tools (e.g. copilots, smart search, assisted drafting). Understands when AI output needs human review. Completes AI User onboarding within 30 days.

Role-Specific AI & Digital Skills

  • Use AI assistants (e.g. Claude, ChatGPT) to draft event communications, agendas, and briefs.
  • Apply AI tools to summarise attendee feedback and surface community insights.
  • Use AI to help plan event logistics, timelines, and checklists.
  • Leverage AI-assisted tools for content, social promotion, and post-event reporting.

AI Development & Growth

  • Complete TrustFlight's AI fluency onboarding programme within the first 30 days.
  • Build a personal toolkit of effective prompts for common event and community tasks.

Required Qualifications & Experience

  • Bachelor's degree in marketing, events management, communications, hospitality, or a related field, or equivalent practical experience.
  • Strong organisational skills with excellent attention to detail.
  • Confident communicator, comfortable engaging with people in person and online.
  • Comfortable using everyday digital and AI tools, and eager to learn new event technology.

Desirable Skills & Experience

  • Experience organising events, societies, or community groups (academic, personal, or professional).
  • Familiarity with event platforms (e.g. Zoom Webinars, Hopin, Eventbrite) or CRM tools.
  • Interest in aviation, technology, or B2B software communities.
