Key Responsibilities
Executive Event Planning & Delivery
- Own end-to-end project management of UKI Executive Engagement events including sporting hospitality (e.g. Formula 1 British Grand Prix at Silverstone), cultural experiences (e.g. Chelsea Flower Show Gala Preview), and bespoke executive dinners and roundtables.
- Work with third-party agencies and colleagues to deliver seamless customer experiences within budget and brand guidelines.
- Produce and maintain detailed project plans, run-of-show documents and host briefing materials.
- Track all necessary guest and host logistics: travel, accommodation, dietary and access requirements.
- Act as the primary operational contact for executive hosts, from scheduling speaker briefings to managing last-minute changes on-site.
- Liaise with HQ Global Events teams to deliver region-specific customisations for global programmes.
Guest Nomination & Pipeline Management
- Work closely with account teams and sales leadership to manage C-suite guest nomination processes.
- Apply structured invitation strategy frameworks to prioritise and assess nominations to make well-reasoned, data-driven and consistent allocation decisions.
- Maintain accurate campaign membership records and nomination workflows; track attendee status from invitation through to post-event follow-up.
- Draft personalised, bespoke copy for C-level audiences on behalf of senior leadership.
- Manage ethics and compliance processes in relation to event attendance.

Campaign & Content Delivery
- Coordinate content requirements across various executive activations, working with internal/external speakers, content agencies, and the wider marketing team to brief and deliver talk tracks, welcome speeches, fireside chat scripts, slide decks, and follow-up assets.
- Write and manage event communications including internal sales enablement, customer messages, RSVP landing pages, and post-event surveys.
- Plan and execute direct mail campaigns targeting senior executives, including concept, personalisation, fulfilment, and tracking.
About You
Essential
- Proven track record in B2B field or event marketing, ideally within enterprise technology
- Strategic thinker, able to design and apply invitation prioritisation frameworks and make sound judgement calls on complex guest allocation decisions
- Exceptional project management skills, able to run multiple complex events simultaneously with meticulous attention to detail
- Strong written communication skills, with experience crafting executive-level copy (invitations, speeches, briefing notes)
- Confident working directly with and on behalf of senior leadership (VP/C-level) stakeholders, both internal and external
- Proficient in spreadsheet tools (Excel or Google Sheets)
- Comfortable using AI tools (e.g. Gemini, Slackbot, Claude) to improve efficiency and the quality of written outputs
- High level of discretion and professionalism when managing confidential guest information and high-value customer relationships

Desirable
- Experience managing premium executive hospitality or VIP customer programmes for C-suite audiences.
- Experience working within a global matrixed marketing organisation.
- Proficiency in CRM or similar, comfortable running campaign reports, managing campaign members, and using data to inform decisions.
- Experience planning and delivering direct mail programmes for executive or C-suite audiences.
