Job Summary

The Ministry of Defence Police (MDP) is a civilian police force that protects the UK's Defence community, capabilities and assets. Our Force consists of armed officers, specialist policing roles and professional civilian staff who work seamlessly with the Ministry of Defence, US Visiting Forces, and other policing and security partners. With stations across the United Kingdom, our presence extends from nuclear facilities to military sites and government buildings. Unlike territorial police forces, our jurisdiction and expertise are focused on protecting the critical infrastructure that underpins national security. Our officers and civil servants bring diverse experience and skills to the unique challenges of Defence policing.

This position is advertised at 37 hours per week.

Job Description

The role is to oversee records management within the organisation and be responsible for the running of the Review, Retention and Disposal Unit. Key responsibilities will include :-

  • Manage reviews of nominal records on force information systems, and other formats, in accordance with Guidance on Management of Police Information and force policy;
  • Preserve or dispose of nominal records based on the national retention assessment criteria, maintaining auditable records to underpin retention and disposal decisions;
  • Implement changes to Management of Police Information guidance, legislation or systems into RRDU process so records continue to be managed in line with the updated policies, guidance etc;
  • Maintain other policing records held within the RRDU archives in accordance with the national policing retention schedule and force policy;
  • Engage with other business areas to promote data quality of nominal records;
  • Ensure adherence to security procedures for both electronic and paper-based systems holding records;
  • Provide advice and guidance on records management to raise standards;
  • Develop and implement records management improvement plans.
  • Ensure MDP follows the requirements of legislation, departmental standards, national policing standards, and force policies and procedures.

Person specification

The candidate should have a good understanding of policing systems, including PNC/PND and Transearch, and either hold the requisite training or be prepared to undertake it. Must have a good understanding of retention policies. Must have, or be prepared to undertake, the relevant training in records management. As this role has enhanced access to sensitive information, it is a requirement to successfully pass police vetting before an offer is made.

Where business needs allow, some roles may be suitable for a combination of office and working from home as part of a non-contractual hybrid working arrangement. All office-based employees will be expected to spend a minimum of 60% of their working time in office, subject to site capacity and any required workplace adjustments. Requirements to attend other locations for official business, or work in another MOD workplace, will also count towards this level of office attendance.
