Medical Affairs Coordinator - 12-month contract
The purpose of this role is to support the day-to-day activities of their designated team and functional head to enable the smooth running of the designated teams through various activities, including organisational, administrative and audit/compliance matters as well.
The role will provide assistance to the whole team as relevant, including attending key meetings, providing logistics and minutes as well as understanding and being compliant with relevant SOP's and policies - such as travel and expenses.
This role will also become an integral member of the division/brand team and coordinate the activities and meetings of this group where relevant for your designated teams.
Leading the organisation of wider meetings such as PVM, Cycle Brief, or AEM, (as examples) is expected.

Key accountability areas are (this list is not exhaustive):
- Support for function head and LT members
- Coordinating meetings and events
- Diary management
- Booking meeting rooms
- Processing receipts and submitting expenses
- Travel arrangements such as booking flights and accommodation Via Navan
Wider team support:
- Supporting the teams in the execution of projects by creating suppliers, PO's (Guided Buying), invoice processing (including reconciliation), e-payments and SOP/audit compliant storage of all relevant data and payment proof
- Agency / supplier management: contact person for suppliers during projects to support from an organisational perspective. Obtaining quotes / RFP support, close cooperation with procurement
- Facilitating projects and the administrative support for larger projects across the functions
- Maintaining an overview of OPEX and ensuring all budget files are up-to-date in coordination with I2I and relevant FP&A partners
- Contract management for team projects including using DocuSign and iDEALs
- Support the organisation and running of digital and F2F team meetings, meeting minutes, TEAMs site and reports etc.
