Medical Affairs Event Planner – Pharmaceutical Sector

Role: Event Planner for Medical Affairs

📍 Location Hybrid-working – Stockley Park, Uxbridge (3 days office / 2 days remote)

📅 Contract Length 12-month contract

💰 Rate Market Rates (Inside IR35, via Umbrella)

📅 Start Date July 2026 (or ASAP, depending on availability)


About the Opportunity

ISR Recruitment is supporting a leading global pharmaceutical organisation in its search for an experienced Medical Affairs and Corporate Event Planner to join their Meeting and Events team on a 12-month contract.

This is an excellent opportunity for a highly organised and proactive professional with a background in pharmaceutical or healthcare event management to contribute to the compliant delivery of key Medical Affairs programmes, including:

  • Advisory Boards
  • Departmental meetings
  • High-profile Healthcare Professional (HCP) events

Skills, Qualifications & Experience

candidates must meet the following criteria:

  • Education & Experience
    • Bachelor’s degree or equivalent qualification
    • 4+ years’ experience in corporate event planning, with a preference for the pharmaceutical or healthcare sectors

  • Core Competencies

    • Proven ability to manage complex logistics, budgets, and vendor relationships within regulated environments
    • Comprehensive understanding of HCP engagement compliance, including contracting and payment processes
    • Excellent communication, negotiation, and stakeholder management skills
  • Technical Proficiency

    • Highly organised, detail-oriented, and capable of managing multiple priorities simultaneously
    • Familiar with internal compliance and event management systems (experience with Cvent or Veeva is highly advantageous)
    • Strong Microsoft Office proficiency

⚠️ Note: This role involves regular national and international travel (UK & Europe), typically once per month—usually 3 to 4 days, but sometimes extending to a week.


Role & Responsibilities

Event Delivery & Compliance

  • Plan and execute Medical Affairs Advisory Programs, departmental meetings, and HCP-facing events from concept to completion
  • Ensure all activities align with internal policies, industry regulations, and global transparency standards
  • Act as the central liaison between stakeholders, vendors, and HCPs for logistical and execution support
  • Oversee the full lifecycle of events through internal systems, ensuring:
    • Accurate documentation
    • Timely approvals
    • Comprehensive compliance reporting

Vendor & Procurement Management

  • Source and inspect venues, negotiate vendor contracts, and ensure adherence to procurement and legal standards
  • Manage event budgets, including:
    • Purchase orders
    • Reconciliation
    • Compliance reporting

Execution & Guidance

  • Attend key events to ensure smooth execution and deliver a high-quality experience for all attendees
  • Contribute to process improvement initiatives, sharing best practices across the team
  • Provide guidance and training on compliant event processes to peers as needed
