Job Overview

We have an exciting opportunity to join our Learning & Workforce Development team as an Administration Officer, supporting the delivery of high-quality medical education across Bristol NHS.

You will play a vital role in ensuring the smooth running of administrative processes while also contributing to the wider L&WD function.

As an integral member of Learning & Workforce Development administration team, you will:

  • Provide a high-quality, efficient, and responsive administrative service within to Learning & Workforce Development
  • Support the coordination and delivery of education and training programmes
  • Work closely with clinicians, educators, and colleagues to support workforce development
  • Contribute to the continuous improvement of systems, processes, and service delivery within the team

All aspects of the role require a high level of organisation and administrative skill, communication skills, flexibility and excellent attention to detail.

This post is based at Southmead Hospital, however, there may be a requirement to work across multiple sites, offering variety and exposure to different office and education environments across the organisation.

Main Duties of the Job

Main Duties & Responsibilities

Interpersonal and Communication Skills

  • Displays excellent interpersonal, communication and customer service skills.
  • Clearly and confidently speaks publicly to groups of learners and staff.
  • Delivers medical education guidance to groups on their area of specialism, including specialist digital systems.
  • Communicates complex information with empathy to colleagues and learners.
  • Communicates effectively with a good standard of written English by email, letter, verbally and on electronic recording systems.
  • Sends regular communications to various colleagues, including Medical Students, DME and Academy Dean, Faculty Teams, Educational Supervisors/Clinical Supervisors, Resident Doctors, as well as external stakeholders, including NHSE and University of Bristol.
  • Responds to queries and requests for support in a timely manner, escalating these to a more senior colleague as needed.
  • Plays an important part in creating and maintaining a positive and respectful learning environment where learners feel welcomed, listened to and supported to develop.
  • Monitors various Medical Education inboxes, responding to and investigating queries and liaising with other teams, including recruitment, medical workforce and various educational teams.

Detailed Job Description and Main Responsibilities

Professional Knowledge and Expertise

  • Experience in providing a high-quality administration experience in a complex healthcare environment.
  • Develop and maintain a broad understanding of medical education & learning and workforce functions.
  • Applies knowledge of curriculum design frameworks, including GMC standards and Undergraduate curriculum, to design programmes of delivery of the appropriate content.
  • Excellent knowledge of digital systems, including experience with bespoke educational training platforms such as Accent, Blackboard, TIS, and HORUS.
  • Excellent knowledge of information governance and the importance of maintaining accurate and up-to-date information relating to an educational environment.
  • Develop and maintain a broad understanding of Medical Education, including undergraduate and postgraduate learning and workforce functions.

Problem Solving and Decision Making

  • Uses analytical skills to respond appropriately to a variety of routine and non-routine student learner & resident doctors' queries.
  • Makes informed decisions based on a range of education data and survey reports such as the GMC national survey, the national student survey & NETS.
  • Uses multiple digital systems, ensuring adherence to governance standards.
  • Reviews administrative working practices to spot inefficiencies and recommend changes.
  • Balancing competing activities to ensure effective prioritisation of work activities.

Planning and Coordination

  • Demonstrates self-motivation and excellent time management, prioritising workload, meeting deadlines, and maintaining close attention to detail.
  • Plans, organises, and adapts educational activities and programmes to meet learner and stakeholder needs, ensuring flexibility and responsiveness.
  • Utilises digital tools and learning systems to efficiently manage schedules, assessments, reports, and communication.
  • Provides operational support for medical education curriculum delivery, including timetabling, organising teaching events, and assisting colleagues and learners with enquiries.
  • Manages administrative processes and continuous improvement, such as monitoring shared inboxes, responding to enquiries, attending meetings, and contributing to best practice within the work area.
  • Facilitates and organises Medical Education events, including Academy Monitoring visits, ARCPs, Foundation Quality Panels, Educational Supervisor Accreditation updates and Induction for medical students and resident doctors. Ensuring that all programmes have easy-to-follow instructions and the latest information and updates.
  • Supports ad hoc admin tasks as directed and supported by the line manager to meet the needs of the service.
  • Supports with the formulation of agendas and minute-taking for meetings if required.

Practical and Technical Skills

  • Ability to physically and safely operate tools and medical equipment required for the learning environment, when appropriate.
  • Demonstrates safe use of office equipment in line with health and safety policy and procedures.

  • Indirectly contributes to patient/client care by ensuring timely delivery of training and development for colleagues involved in direct patient care.
  • Provides reassurance or basic information to patients, relatives, or carers during incidental contact across the Bristol NHS Group.

  • Escalates the need for any amendments to policies, practices, procedures for own area of responsibility for further discussion with the senior team.

  • Supports the assessment of potential risks within the medical education department by raising potential issues and risks via the management structure.

  • Utilises equipment safely and reports any faulty or malfunctioning equipment for this to be addressed.
  • Orders stationery and equipment using specialist software to ensure availability to support service and educational delivery.
  • Identifies cost-improvement and sustainability opportunities.

  • Role models professional behaviours and attitudes always.
  • Demonstrates excellent customer care skills and ensures actions support equality, diversity, and inclusion for learners and service users.
  • Assists in creating and maintaining a respectful and inclusive learning environment which offers a safe space for learner development.
  • Ensures that correct procedures are followed in the event of an incident or accident involving patients, staff or visitors, using the correct incident reporting systems and escalation processes.
  • Participates in the induction and orientation of newly appointed staff, learners, and other visitors.

Information and Data Management

  • Competent user of IT systems, including Word/Excel/PowerPoint/Teams, and other MS Office packages.
  • Confident with IT-based products, online systems, including bespoke medical education systems.
  • Ability to respond to telephone and email enquiries for information and support, responding appropriately and escalating only when required.

Innovation and Continuous Improvement

  • Contributes to both internal and external audit processes as directed through supporting data collection.
  • Supports the collection of feedback from medical education student learners & resident doctors to support the evaluation of medical education and training sessions and programmes.
