Salary: Up to £12.71 per hour (depending on level of experience, training, and qualification)

Chelsfield Park Hospital in Kent is part of Circle Health Group, Britain's leading provider of independent healthcare with a nationwide network of hospitals & clinics, performing more complex surgery than any other private healthcare provider in the country.

We have an opportunity for a Medical Records Officer to join their team of staff in the Medical Administration department.

This is a bank role working on an “as and when required” basis, you will be required to supplement staffing levels during busy periods and provide cover for existing staff in times of annual leave or absence.

Duties Of This Role Include

  • Prepare patient records for upcoming clinics, admissions, investigations, and procedures.
  • Ensure all required documentation (e.g., consent forms, test results, referral letters) is accurately filed and accessible for clinical teams.
  • Maintain and update both paper and electronic records in accordance with data protection policies and hospital procedures.
  • Locate and retrieve patient notes efficiently when requested by clinical, admin, or legal teams.
  • Log and track movement of physical records across departments using tracking systems.
  • Ensure records are returned promptly, correctly filed, and stored securely.
  • Handle patient information with the highest standards of confidentiality and discretion.

Applicants Should Meet The Following Criteria

  • Previous administrative experience, ideally in a healthcare or records-focused role.
  • Good understanding of confidentiality, GDPR, and information governance.
  • Strong attention to detail and accuracy.
  • Good organizational skills and ability to manage time and priorities effectively.
  • Comfortable working with IT systems and databases.
  • Strong communication and interpersonal skills, with a professional and respectful manner.
  • Experience using hospital systems such as PAS, EPR, EMIS, Meditech, or similar.
  • Familiarity with clinical record-keeping standards and NHS/private healthcare terminology.
  • NVQ Level 2/3 in Business Administration or Health-related discipline.
  • Understanding of medical terminology or willingness to undertake training.
