# **Medical Records Officer – Permanent & Fixed-Term Roles**
**Location:** University Hospital Crosshouse, Kilmarnock
**Organisation:** **NHS Ayrshire and Arran**
**Hours:** **36.0 hours per week**
- Monday–Thursday: **9:00 AM–5:00 PM**
- Friday: **9:00 AM–3:30 PM**

## **The Role**
An opportunity exists within the **Business Administration** team, **Mental Health Services**, **North Ayrshire Health & Social Care Partnership**, providing **comprehensive, confidential clerical and administrative support** to the **Medical Records Service**.

## **Responsibilities**
- Provide **clerical and administrative support** to the Medical Records Service at **University Hospital Crosshouse**.
- Handle **sensitive and distressing information** within records.
- Work in **warehouse conditions**.

Requirements

Education & Skills

Applicants must have:

  • O-Grade/Standard Grade Credit or National 5 in English and Maths
  • SVQ Level 2 in Administration or equivalent relevant qualification/experience

Key Experience & Competencies

A high level of accuracy and attentiveness is required due to the nature of handling confidential records. You must demonstrate:

  • Typing proficiency
  • Data input experience
  • Expertise in Microsoft Office (Word, Excel, Outlook, Teams, PowerPoint)
  • Experience with electronic Patient Management System (PMS Trakcare)
  • Familiarity with NHS workflows and inter-disciplinary networks (desirable)
  • Strong communication skills (verbal and written)

Confidentiality

  • Strict adherence to General Data Protection Regulation (GDPR)
  • Ability to maintain confidentiality with sensitive patient data

Flexibility

  • Adaptability to last-minute changes and demands

Licensing

  • Full UK Driving Licence (desirable)
    • Applicants may need to travel across multiple Ayrshire & Arran sites

You must demonstrate legal permission to work in the UK. NHS Ayrshire & Arran may offer visa sponsorship (subject to salary threshold and role criteria).
