Fortius Clinic is seeking a highly organised and proactive Medical Secretary to join our team. This is a key administrative role supporting the smooth and efficient operation of our medical office, ensuring an exceptional standard of service for both patients and colleagues.

About the Role

The Medical Secretary role involves a wide range of administrative duties essential to the day-to-day running of our clinic. You will be responsible for managing communications, coordinating schedules, and providing vital support to clinicians and the wider team.

This position requires an individual who is detail-oriented, calm under pressure, and confident in managing multiple priorities in a fast-paced healthcare environment.

Key Responsibilities

  • Provide comprehensive secretarial support and coordinate all administrative duties for designated consultants
  • Proactively manage consultant schedules, including outpatient clinics, theatre lists, annual leave, study leave, and meetings
  • Amend and manage clinic bookings, including cancellations and rescheduling, ensuring clear communication with patients and internal teams
  • Process imaging requests using Meddbase, schedule appointments, and provide fee information for self-funded patients
  • Prepare clinic sessions by ensuring all relevant documentation, including imaging reports and referral letters, is available in advance
  • Coordinate theatre bookings, including completing booking forms, scheduling patients on Meddbase, issuing confirmations, and managing pre-assessments and post-operative appointments
  • Liaise effectively with internal departments (e.g. Radiology, Bookings, Appointments) to ensure a seamless patient journey
  • Review, edit, and distribute clinical correspondence, including letters to patients, referrers, and GPs
  • Accurately scan and upload medical documentation and correspondence to patient records
  • Act as a key point of contact between patients, clinicians, and internal teams, ensuring clear and effective communication
  • Respond promptly and professionally to patient enquiries via telephone and email
  • Handle payment collection for self-funded patients in line with clinic processes

  • Highly organised with strong attention to detail

  • Experience in a medical or healthcare administrative setting is desirable
  • Proficient in Microsoft Office and patient management systems
