The Opportunity
As a Medical Secretary, you will play a vital role in supporting consultant clients and ensuring patients receive the excellent experience throughout their healthcare journey.
Working closely with a dedicated Patient Administrator, you will become a trusted extension of your clients' practices, managing:
- Appointments
- Patient enquiries
- Clinic schedules
- Day-to-day operations
No two days are the same, making this an ideal role for someone who enjoys variety, responsibility, and making a real difference.
Responsibilities
- Managing a high volume of incoming calls from:
- Patients
- Consultants
- Hospital staff
- Secretaries
- Scheduling and coordinating consultant clinics
- Processing medical dictation and correspondence
- Managing patient and client enquiries efficiently and professionally
- Taking payments and supporting billing-related enquiries
- Uploading and maintaining accurate patient information within our Practice Management system
- Handling internal and external email communications
- Building strong relationships with consultants and ensuring exceptional client service
- Participating in weekly team meetings and continuous improvement initiatives
- Supporting onboarding and training of new team members when required
- Assisting with additional projects and administrative tasks as the business grows

Requirements
This role offers an excellent opportunity for someone looking to establish a career in healthcare administration. Previous Medical Secretary experience is not essential, as training and support will be provided.
Essential Requirements
You should be able to demonstrate experience in one of the following:
- Administrative
- Coordination
- Customer service or office-based roles
Key skills and abilities include:
- Strong organisational skills, including task, priority, deadline, records, or appointment management
- Strong attention to detail, including:
- Accurate data entry
- Document handling
- Record keeping
- Written communication
- Strong written and verbal communication skills
- Professional communication with:
- Customers, clients, patients
- Colleagues, managers, suppliers, or other stakeholders
- Experience with:
- Handling telephone calls
- Emails, inboxes, customer enquiries
- Strong customer service skills:
- Ability to remain professional, helpful, and calm
- Proficiency with:
- Microsoft Office applications, particularly:
- Outlook, Word, and Excel
- Microsoft Office applications, particularly:
- Ability to manage:
- Multiple tasks and priorities in a busy or fast-paced environment
- Competency in:
- Working independently and as part of a team
- Ability to handle confidential or sensitive information appropriately
Desirable Requirements
It would be advantageous for you to have experience in:
- Medical Secretary
- Healthcare Administrator
- Patient Administrator
- Clinic Coordinator
- Receptionist
Any of the following would be preferred experience:
- Student-specific cases or settings
- Healthcare, medical, hospital, clinic, GP practice, private healthcare environments
- Managing:
- Diaries, clinic schedules, appointments, bookings, rotas
- Scheduling systems
- Utilizing:
- Practice management systems
- Patient administration systems
- CRM systems, booking systems
- Processing payments, invoices, billing enquiries, or financial administration
- Supporting:
- Onboarding, training, mentoring, or buddying of colleagues
- Knowledge of:
- Private healthcare pathways
- Patient journeys
- Clinic administration or consultant support processes
