Key Responsibilities
Secretarial Support
- Provide full secretarial support to practices as requested by the Practice Manager, including:
- Letter production
- Reports and clinical documentation
- Maintaining strict confidentiality
- Professionally manage correspondence and telephone contacts, ensuring prompt and accurate responses
- Handle administrative tasks with attention to detail and discretion
Appointment Management
- Independently create appointments in the electronic medical record system, ensuring accuracy and completeness
- Receive new patient referrals and schedule timely appointments, coordinating with internal departments as needed
- Advise patients on co-payments, referral authorisations, and pre-service deposits to secure funding for visits
Patient Coordination
- Register new patients and update existing patient records, maintaining precision and attention to detail
- Coordinate patient visits, responding to needs and arranging internal and external care connections
- Obtain investigations and test results using Mayo’s data systems and escalate abnormal or urgent results to consultants promptly

Interdepartmental & External Liaison
- Engage professionally with:
- Healthcare professionals
- Referring providers
- Allied health staff
- Patients
- Foster effective relationships with internal and external teams, including volunteers and visitors
- Ensure all interactions reflect dignity, respect, and courtesy
Documentation and Record Management
- Coordinate external medical records, imaging, and lab results, ensuring complete provider access
- Maintain accurate patient documentation, including clinic notes before outpatient visits
- Ensure timely follow-up documentation (e.g., progress notes) for referring agencies
Policy Compliance and System Navigation
- apply Mayo Clinic policies on scheduling criteria and medical need
- Navigate complex systems to efficiently manage scheduling and service inquiries
Qualifications
Minimum Requirements
- General Certificate of Secondary Education (GCSEs)
- Previous medical secretarial experience (minimum 3 years, preferably in the private sector)
Preferred Qualifications and Skills
- Completion of a Medical Terminology course
- Strong customer service orientation
- Excellent written and verbal communication
- Troubleshooting and problem-solving ability, balancing competing demands independently
- Experience handling difficult or emotional situations with professionalism, empathy, and calmness
- High attention to detail, including typing accuracy and proofreading
- Proficiency in:
- Microsoft Word, Outlook
- CRM systems
- Basic knowledge of insurance terminology
- Experience across multiple medical specialties
- Fluent English
- Ability to work in the UK legally

Tenure
- Non-exempt role (typically requires non-hourly pay or salary agreement under employment law)
Compensation and Schedule
- Compensation will consider education, experience, tenure, and internal equity factors when offering roles
- Benefits eligible? No
- Schedule: Part-time, with hours varying based on demand
- Required availability: 8:00 AM – 9:00 PM, including occasional Saturdays
- International Assignment Potential: Yes
