Medical Secretary, HPB

Administrative Maternity Cover: Hepatobiliary (HPB) Team

The University Hospitals Coventry and Warwickshire NHS Trust seeks a maternity cover administrative professional to join their Hepatobiliary (HPB) team.

About the Role

This role provides specialised, superior, and confidential patient-centred clinical administration and secretarial support to Consultants and their teams, ensuring all services comply with relevant Departmental, Trust, and National standards, policies, and procedures. You will also act as an administrative liaison and knowledge advisor for complex hepatobiliary care.

Key Responsibilities

1. Senior Clinical Administration Support

  • Serve as the senior point of contact to efficiently manage and resolve all patient/enquiry-related matters within a prompt timeline.
  • Ensure all relevant personnel are notified and that accurate, confidential documentation is maintained.

2. Clinical Documentation & Coordination

  • Maintain up-to-date, accurate, and accessible clinical records, ensuring they are readily available for clinical decision-making.
  • Report exceptions when deviations occur while ensuring prompt transcription, manipulation, and distribution of correspondence.
  • Collaborate closely with relevant teams to maintain an efficient administrative process, avoiding bottlenecks.

3. Patient Care & Operational Coordination

Outpatient Access & Waiting List Management

  • Work with the Booking Centre & Patient Access team to ensure the waiting list remains current and accurate.

Outpatient Referrals & Flow Management

  • Monitor outpatient clinic utilisation in collaboration with Medical Managers and the General Management team, ensuring alignment with Policy and standards.

Elective Care Pathway Coordination

  • Oversee seamless integration with Theatre, Diagnostic, and Ward teams to guarantee patients' elective care pathways are sensitive, timely, and safe.
