Job Title: Meetings and Events Client Operations Finance Lead (12-month fixed term contract, covering a maternity leave)

Location: UK: Ashby-de-la-Zouch or Manchester (minimum of 2 days a week in the office above nearest to you, remaining 3 days can be worked remotely)

A bit about the role …
You will manage supplier payments, work orders, budgets, budget reviews and budget reconciliations in multiple currencies. You will be an important member supporting the team and will play an active role communicating with your client(s) regarding supplier payment statuses.
This is a 12-month fixed term contract, covering a maternity leave.
What will you do …
Financial Control and Management:
- Set-up projects on the finance system and managing ongoing project updates
- Ensure quality and accuracy of output following company financial policies and procedures
- Ensure all costs are received against an event and assist credit control in chasing client outstanding invoice payments
- Manage the supplier payments per project. Including creating initial budgets, work orders, final reconciliation, client approval and invoicing
- Work with the Client Operations Manager to ensure that projects are moved to contracted status upon receipt of client purchase orders and contracts are set up on the financial system ready for invoicing
- Ensure client purchase orders are checked for accuracy upon receipt and saved in correct location on the system
- Update financial systems with budget and final reconciliation figures, maintaining accuracy within financial system to aid in accurate reporting
- Review job status and cash flow for all events within the team including raising advance deposits required for future congresses and larger events
- Review internal financial reports and update them
- Accountable for health check for events
- Review aging of specific clients, ensuring it ties out and is reported accurately within project closure process
- Ensure relevant approval procedures are followed in absence of the Director of Meetings and Events

Client Communication:
- Attend and contribute at client meetings
- Weekly reporting to the client on the status of payments, purchase and work orders
- Effectively interact with client key stakeholders
General:
- Attend and contribute at team and financial meetings
- Ensure compliance with all company and client policies and procedures
- Develop and apply an understanding of your clients' businesses and products
- Assist new starters by taking on the role of 'Buddy'
- Understand, apply and promote our mission, vision and values
- Achieve quality and accuracy of output following company processes and client expectations
- Organise, plan and prioritise your own workload to meet objectives and deadlines

What do you need to have …
- Finance background or numeracy experience
- Friendly and professional communication skills
- A focus on accuracy, consistency and dedication to customer service
- Advanced level of Excel and intermediate level of Word and PowerPoint
- Ability to work within a team as well as independently
- An excellent communicator and problem solver
- A proactive, can-do, attitude
- Calm and exceptional organizational skills with the ability to work to strict deadlines whilst ensuring the highest standard of work
