Location Ashby-de-la-Zouch or Manchester (hybrid, minimum 2 days a week in the nearest office)

About the Role

As the Meetings and Events Project Director at Emota, you’ll play a strategic role in delivering exceptional global projects for our prestigious clients while championing project excellence, best practices, and process compliance.

Reporting to the Senior Project Director and working closely with the Director of Meetings and Events, you’ll lead teams to deliver high-quality solutions while fostering strong client relationships. This role involves significant national and international travel, including client and supplier liaison, financial management, and multi-disciplinary project leadership across all project stages.


Responsibilities

Project Management

  • Lead meetings and events delivery teams to ensure the quality of delivery and financial health of projects.
  • Act as the Project Lead for high-profile, multi-disciplinary client initiatives.
  • Ensure smooth execution of operations on major global accounts.
  • Set and uphold industry-leading standards across all projects.

Budget Management

  • Collaborate with the Director of Meetings and Events on forecasting and financial analysis for assigned client accounts.
  • Review and analyse financial tools to monitor project profitability and cash flow.
  • Prepare and maintain event budgets throughout their lifecycle.
  • Conduct regular "health checks" to identify cost-saving opportunities.
  • Ensure alignment with client and company invoicing processes.
  • Oversee and reconcile final event finances per agreed deadlines.

Client Liaison and Account Development

  • Maintain and nurture client relationships, from initial engagement to delivery.
  • Identify and report new business opportunities to the Client Engagement Director.
  • Lead proposals and anticipatory discussions with clients.
  • Host, facilitate, and deliver F2F and virtual client planning sessions.
  • Prepare and distribute supportive meeting materials.
  • Ensure clients remain informed of progress throughout the programme lifecycle.
  • Champion client service policies and mentor team members.

Staff Development and Management

  • Allocate and prioritise resources to meet business goals and timelines.
  • Conduct regular 1:1s with direct reports to ensure their professional growth.
  • Lead recruitment, mentorship, and long-term development of Project Managers and Project Executives.
  • Coordinate support systems for your Project Managers and Senior Project Managers.

General Responsibilities

  • Act as an internal/external brand ambassador for Emota.
  • Engage in team meetings and client calls, contributing positively to decision-making.
  • Collaborate across departments to meet client service level agreements (SLAs).
  • Uphold our mission, vision, and values (supporting corporate learning, engagement, and innovation through applied scientific research).
  • Ensure compliance with health and safety protocols, as well as privacy and security protocols.
  • Champion environmental sustainability across all business activities and projects.
  • Demonstrate broad knowledge of our global service offerings.

Requirements

To succeed, you will have:

Essential Criteria

  • 7+ years of experience in managing high-profile meetings and events in corporate settings, with international assignments.
  • Hands-on experience with event budgeting, forecasting, multinational currency reconciliation, and financial management.
  • Strong project management experience, with expertise in resource allocation and team leadership.
  • A customer-centric mindset, prioritising successful event delivery over internal deadlines.
  • Direct experience mentoring and supervising teams in fast-paced event business environments.
  • Proficiency in:
    • Event planning software (e.g., Cvent, InどころかTimes), CRM tools,
    • Microsoft 365 Suite,
    • Excel (complex modelling, forecasting) and financial analysis.
  • Proven ability to manage multiple simultaneous projects with high attention to detail.
  • Flexibility and travel readiness—willing to leave the home base office for minimum 2+ days weekly to support national/international event schedules.

Industry/Preferable Criteria

  • Experience within the healthcare or pharmaceutical industries.
  • Background in a third-party event management agency environment.
  • Capability to adjust to transformational change (compliance requirements, strategic realignment).
  • Commutable proximity to Ashby-de-la-Zouch or Manchester offices.
