- Direct reports: None (supported by a Project Executive for attendee participation)
About the Role
Reporting into a Project Director, you will manage global meetings, events and congress participation for our pharmaceutical clients. Your responsibilities include ensuring each event is profitable, compliant and meets client and team expectations.
You will be responsible for:
- All logistical elements
- Budget management Working closely with a Project Executive who handles attendee participation.
This role involves:
- National and international travel
- Client partner, supplier and financial management at all stages (pre, on-site, post event delivery)

What You’ll Do
Project Management
- Manage venues and associated logistics, including:
- Congress attendance & business centre arrangements
- Dinners and break-out sessions
- Housing blocks and attrition management
- Oversee congress sponsorship activity, including:
- Approval processes
- Liaison with client contracting teams
- Booth provider coordination
- Coordinate client requirements with third-party suppliers and internal teams
- Produce, manage, and circulate key communications, such as:
- Weekly status reports to event partners
- Travel onsite for:
- Site inspections
- Planning meetings
- Event delivery execution
- Conduct post-event metric reporting
Client Liaison & Development
- Deliver exceptional customer service aligned to client goals
- Plan, attend, and implement client meetings (face-to-face, hybrid, and virtual), including post-event debriefs
Financial Management
- Prepare and maintain budgets throughout the event lifecycle, including:
- Approving invoices
- Ensure financial tracking and cash flow health checks
- Manage:
- Scope control – identifying and charging for out-of-scope activities
- Cost avoidance/savings measures
- Comply with company and client invoicing processes
- Oversee cross-charge event budgets

General Responsibilities
- Work with support teams to ensure client outcomes are delivered
- Act as a Buddy for new starters
- Uphold Emota’s mission, values, and vision
- Maintain compliance with procedures
- Build long-term partnerships with hotels, venues, and suppliers
- Champion environmentally sustainable practices
- Act as an ambassador for the agency
What You’ll Need
Experience & Skills
- Minimum 4+ years’ experience in corporate event management
- Proven event budget management skills from initial planning to post-event reconciliation
- Strong client liaison and relation-building abilities
- Ability to motivate teams and collaborate as a professional team player
- Attention to detail, accuracy, consistency, and strong customer service culture
- Intermediate Excel proficiency for maintaining complex spreadsheets
- Willingness and ability to travel internationally
