About the Role
Reporting into a Project Director, you will manage global meetings, events, and congress participation for our pharmaceutical clients. Working at the intersection of business and branding, you’ll ensure each event is profitable, compliant, and meets clients’ and team’s expectations.
Responsible for all logistical elements and budget management, you’ll be supported by a Project Executive who handles attendee participation.
Critical aspects of this role include:
- Client, supplier, and financial management across pre-, on-site, and post-event stages.
- National and international travel included as part of the role.
What You’ll Do
Project Management
- Manage venues and associated logistics, including:
- Congress attendance
- Business centres
- Dinners & break-out sessions
- Housing blocks & attrition
- Course management for sponsored booths and supplier liaison
- Oversee all third-party supplier and internal service provider coordination.
- Prepare weekly status reports for all key stakeholders.
- On-site responsibilities:
- Conduct site inspections
- Attend planning meetings with suppliers
- Monitor and report post-event metrics.

Client Liaison & Development
- Deliver exceptional customer service aligned with client objectives.
- Facilitate face-to-face, hybrid, and virtual client planning meetings with follow-ups.
Financial Management
- Maintain and revise event budgets throughout delivery.
- Approve invoices and ensure proactive cash flow tracking.
- Identify and bill for out-of-scope activities (scope management).
- Implement cost-savings measures and ensure compliance with company/client invoicing policies.
- Oversee cross-charge congress budgets from initiation through conclusion.
General Responsibilities
- Integrate with support teams to align with client deliverables.
- Mentor new starters by acting as a buddy to ease onboarding.
- Adhere to company mission, vision, and values.
- Maintain strong relationships with suppliers, hotels, and venues.
- Act as an ambassador for the agency.
- Champion environmental sustainability across all operations.
What You’ll Need
- At least 4 years’ experience in:
- Delivering corporate events.
- Managing event budgets from creation to reconciliation.
- Exceptional client liaison, building, and negotiation skills.
- Strong ability to motivate teams while operating as a professional collaborator.
- Attention to detail with an orientation towards accuracy, consistency, and customer service excellence.
- Intermediate-level Excel proficiency (ability to maintain complex event spreadsheets).
- Commitment to international travel for on-site visits.
