About the Role

Reporting to a Project Director, you will manage global meetings, events, and congress participation for our pharmaceutical clients. Your role ensures each event is profitable, compliant, and meets client and team expectations. You will oversee all logistical elements and budget management, supported by a Project Executive responsible for attendee participation.
This position involves national and international travel and entails management of partners, suppliers, and finances across all event stages—pre-event, on-site, and post-event.

Your Key Responsibilities
Project Management
- Manage all venue and logistical arrangements, including:
- Congress attendance and business centre provision
- Dinners, break-outs, and housing blocks
- Attrition management
- Oversee congress sponsorship activities on behalf of clients, including:
- Approval processes
- Liaison with client contracting teams
- Booth provider coordination
- Manage and coordinate client requirements with third-party suppliers and internal service providers
- Produce, manage, and circulate key communications, e.g., weekly status reports to main meeting partners
- Conduct on-site inspections, including planning meetings with all suppliers and event delivery oversight
- Generate post-event metrics reports

Client Liaison and Development
- Deliver first-class customer service aligned with clients’ objectives
- Plan, attend, and implement client planning meetings (in-person, hybrid, or virtual), including post-event debriefs
Financial Management
- Prepare and maintain event budgets throughout the lifecycle—from initial setup to revisions and reconciliation
- Ensure financial tracking of each event and conduct regular cash-flow “health checks”
- Identify and invoice out-of-scope activities
- Monitor cost avoidance/saving measures
- Comply with company and client invoicing processes
- Oversee congress cross-charge budgets, from initial approval to final reconciliation
General Duties
- Collaborate with support departments to achieve client KPIs
- Act as a Buddy for new starters’
- Align all actions with the agency’s mission, vision, and values
- Maintain long-term relationships with hotels, venues, and suppliers for optimal pricing
- Be an ambassador for Emota in all interactions
- Integrate environmental sustainability into all aspects of the role

Essential Requirements
- 4+ years’ experience delivering corporate event management, with a focus on Pharmaceutical clients
- Budget management expertise, from initial budgeting to capital reconciliation
- Strong client liaison skills
- Ability to motivate teams and work collaboratively in a professional environment
- Attention to detail, accuracy, consistency, and commitment to customer service excellence
- Intermediate Excel proficiency (capable of handling complex spreadsheets)
- Willingness to travel internationally onto-site
