Location: UK: Ashby-de-la-Zouch or Manchester (hybrid, full-time, working a minimum of 2 days a week from your nearest office)

Reporting To: Client Operations Manager

About the Role

You will operate as a necessary knowledge holder on the technologies used on a large congress client account. Your role will involve collaborating with the delivery team and the client, consulting on capabilities, and driving continuous improvement.

Key responsibilities will include developing and maintaining platform templates leading up to congress events where significant technologies are utilised. The primary platform used is Cvent, alongside additional App technology and meetings scheduling software.


Your Responsibilities

Technology Management

  • Lead the deployment and configuration of eQuartz
  • Ensure seamless integration with existing systems and workflows
  • Design and deliver training sessions for teams on Cvent and eQuartz tools and features
  • Create user guides and resources to support ongoing adoption and proficiency
  • Collaborate with the delivery team, client, and stakeholders to evolve the agreed platform approach, solve problems, and complete testing
  • Develop and maintain operating procedures, user guides, and training information
  • Roll out amendments to both the delivery and client teams
  • Identify and implement process efficiencies and technology enhancements for end-to-end data capture and delivery to clients
  • Maintain data quality of client dashboards and historical data capture
  • Publish centralised congress and ancillary meeting reports
  • Produce and analyse reports to provide relevant insights for clients and teams
  • Support data-driven decision-making through accurate event metrics
  • Promote event technology solutions across teams and departments

Project Delivery

  • Align Cvent/eQuartz capabilities with internal process workflows (including Cvent budgets)
  • Develop best usage practices for the organisation
  • Achieve all client- and company-driven Service Level Agreements (SLAs) for events
  • Ensure delivery adheres to regulatory and client-defined compliance guidelines
  • Provide first-class customer service aligned with clients' goals
  • Support virtual event applications and on-site virtual support
  • Monitor website builds and data accuracy for high-quality outputs
  • Conduct regular audits and recommend enhancements
  • Provide recommendations for improvements to website builds
  • Set-up and administer applications and websites based on agreed specifications (including congress websites, ancillary websites, and congress apps)
  • Maintain these applications and websites, incorporating template updates to live events
  • Prepare and maintain communications relating to live event updates
  • Prepare and maintain parent congress websites for large events, ensuring ancillary meeting information is captured
  • Identify and communicate scope and charges with relevant Project Directors
  • Capture post-event reporting and data

Client Liaison and Development

  • Serve as the main contact for clients regarding eQuartz-related processes and solutions
  • Collaborate with clients to understand event requirements and translate them into platform functionality
  • Identify new capabilities within account technology for current and new processes
  • Support the preparation of technology proposal elements, including attendance at pitches
  • Plan and attend client planning meetings
  • Align understanding of clients' businesses and products

Supplier Management

  • Communicate with event technology suppliers to assess offerings
  • Foster long-term supplier relationships
  • Research current and emerging event technology solutions and provide recommendations to teams

General Duties

  • Work with relevant support departments for client performance measurables
  • Attend and contribute at team meetings
  • Act as a 'Buddy' for new starter support
  • Apply the company’s mission, vision, and values
  • Comply with all company and client procedures
  • Act as an ambassador for the agency
  • Promote environmental sustainability across all role aspects

What You Need

  • Minimum of 4 years experience in event management delivery (corporate events)
  • Proficient Cvent user
  • Strong client liaison skills
  • Ability to mentor peers on platform management
  • Experience with internal audits and making recommendations to management
  • Calm, approachable, and professional attitude
  • Capacity to motivate teams effectively
  • Strong emphasis on accuracy, detail, consistency, and customer service
  • Intermediate-level Excel skills (ability to manage complex spreadsheets)
  • ability to work from Ashby-de-la-Zouch or Manchester on site at least twice a week
