Meetings and Events Project Technology Manager, Cvent (12-month fixed term contract)

About the Role
You will act as the essential knowledge holder for technologies used within a large congress client account. This involves consulting with the delivery team and client regarding platform capabilities and driving continuous platform improvement.
You will lead the platform template development and maintenance for upcoming congresses utilising key technologies like Cvent, App technology and meetings scheduling software.
Key Responsibilities
Technology Management
- Lead deployment and configuration of eQuartz
- Ensure seamless integration with existing systems and workflows
- Design and deliver training sessions for teams on Cvent/eQuartz tools and features
- Create user guides and resources for ongoing adoption and proficiency
- Collaborate with the delivery team, client stakeholders, and relevant parties to:
- Develop and maintain platform templates
- Resolve operational problems
- Conduct comprehensive testing
- Create and maintain:
- Operating procedures
- User guides
- Training materials
- Roll out amendments to both delivery and client teams
- Identify and implement process efficiencies and technology upgrades within:
- End-to-end data capture
- Client delivery processes
- Maintain:
- Data quality of client dashboards
- Historical event data capture functionality
- Generate and publish:
- Centralised congress reports
- Ancillary meeting reports
- Produce and analyse key metrics for clients and stakeholders, enabling:
- Data-driven decision-making
- Event performance insights
- Promote event technology solutions across teams and wider departments

Project Delivery
- Align Cvent/eQuartz capabilities with internal workflow processes including Cvent budgeting systems
- Develop and document best practices for technology use
- Ensure adherence to all client and company Service Level Agreements (SLAs)
- Uphold:
- Regulatory compliance
- Client-defined compliance guidelines
- Deliver exceptional customer service aligned with client goals
- Support virtual event tools and platforms (including virtual backstage support)
- Monitor and ensure:
- Website imagery, data accuracy, and overall quality
- Regular audits with enhancement recommendations
- Maintain applications and websites, including:
- Template updates for live events
- Centralised event website management
- Ancillary meeting websites
- Congress-specific apps
- Prepare and maintain:
- Announcements for live event updates
- Parent congress websites for large-scale events, ensuring ancillary meeting data is captured
- Engage with Project Directors to outline scope/visibility charges
- Conduct post-event reporting and data capture
Client Liaison and Development
- Be the primary client contact for eQuartz-related processes and solutions
- Collaborate with clients to understand their requirements and map them to platform capabilities
- Identify new capabilities within the account technology for existing/new processes
- Bid readiness support including preparation/presentation of technology in:
- Event proposals
- Client pitches where required
- Plan and attend client planning meetings
- Gain in-depth understanding of client businesses/products
Supplier Management
- Communicate with and understand event technology vendors’ offerings
- Build and sustain long-term relationships with suppliers
- Research/trend analysis of event technology, sharing findings with internal teams

General Duties
- Work with support departments to meet client performance targets
- Contribute to and attend team meetings
- Mentor new starters

- Champion environmental sustainability valuable to the operational approach
Qualifications & Requirements
Four years minimum experience in:
- Event management (corporate-focused)
- Cvent, as an advanced user
- Client liaison
- Mentoring peers in technology platforms
- Handling audits and recommending management action
- Soft skills ideal: Calm professionalism, team motivation, and a commitment to accuracy/details
- Intermediate Excel proficiency (knowing how to maintain complex systems)
- Reside within commutable driving distance for hybrid work (2+ office days/week)
