Reporting to: Client Operations Manager
About the Role
You will operate as the key knowledge holder on the technologies used on a large congress client account, collaborating with the delivery team and client to advise on platform capabilities and drive continuous improvement.
Actively involved in the development and maintenance of platform templates pre- and post-congress, ensuring smooth operation of critical technologies—primarily Cvent, alongside app technology and meeting scheduling software.
Responsibilities
Technology Management
- Lead deployment and configuration of eQuartz
- Secure seamless integration with existing systems and workflows
- Design and deliver training sessions for teams on Cvent/eQuartz tools and features
- Create user guides and resources for ongoing adoption and proficiency
- Collaborate to create/maintain templates, problem-solve, and conduct testing
- Develop operating procedures, user guides, and training materials
- Ensure amendments are rolled out effectively to delivery and client teams
- Identify and drive process efficiencies while enhancing event data capture and client delivery
- Maintain quality of ** dashboards**, ensuring accurate technology interactions and historical data
- Publish centralised congress and ancillary meeting reports
- Generate and analyse reports to provide insights for clients and teams
- Support metric-driven decision-making through accurate event analytics
- Promote event technology solutions across the team and broader departments

Project Delivery
- Align Cvent/eQuartz capabilities with workflows, including budget management
- Develop best practices for cross-organisational usage
- Uphold all SLAs (client and company) for events
- Guarantee compliance with regulatory guidelines and client-defined standards
- Deliver exceptional customer service aligned with client goals
- Oversee virtual event applications, including on-site support
- Monitor website builds and data accuracy for high-stakes outputs
- Conduct regular audits and propose effectiveness enhancements
- Recommend improvements to website builds
- Set up, administer, and maintain applications/web at client/project specs (e.g., congress/conference apps, ancillary websites)
- Manage updates and deployments for live events and templates
- Prepare and maintain communication materials for live event updates
- Oversee parent congress websites (integrate ancillary data)
- Liaise with Project Directors on scope and charges
- Coordinate post-event reporting and data capture
Client Liaison & Development
- Serve as the primary tech contact for eQuartz queries
- Partner with clients to assess event needs and translate them into platform requirements
- Detect emerging tech opportunities for existing and new processes
- Assist with technical elements of client proposals; attend pitches as needed
- Attend and contribute to planning meetings
- Apply deep understanding of clients' businesses and products
Supplier Management
- Engage and evaluate event technology vendors
- Build sustainable partnerships with suppliers
- Research and provide feedback on current and emerging solutions

Requirements
Skills & Experience
- Minimum 4 years in corporate event management (delivery-focused)
- Competent Cvent proficiency (technically skilled)
- Strong client relationship management expertise
- Proven ability to mentor peers on platform operations
- Experience with internal audits and confident in recommending improvements
- Calm, approachable, and occasionally inclusive communication style
- Demonstrated team motivator and alignment with professional standards
- Attentive to accuracy, detail, consistency—customer service-oriented
- Intermediate Excel (data analytics + complex spreadsheets)
- Available for minimum 2 on-site days in Ashby-de-la-Zouch/Manchester (commutable within liveability range)
