Location: Ashby-de-la-Zouch or Manchester (hybrid full-time with a minimum of 2 days a week in your nearest office)

Reporting to: Project Director

Direct reports: Project Coordinators and Senior Project Coordinators

About the Role

As an experienced Senior Project Manager specialising in Meetings and Events, you will play an important role in the planning of global projects for our renowned clients.

You will use your project management skills to deliver all logistical elements and associated budgets, while mentoring our Project Executives to follow best practices.

This role, which involves national and international travel, includes managing client, partner, supplier, team, and financial responsibilities at all project stages: pre-event, on-site, and post-event.

Responsibilities

Project Management

  • Lead projects from client, internal team, and external partner perspectives, being the primary contact for clients
  • Oversee small to medium-sized projects across multiple Emota/XD service lines, ensuring seamless delivery
  • Maintain the highest standards of event planning and delivery while mentoring Project Executives
  • Manage app and content development
  • Conduct post-event metric reporting
  • Oversee hotel, venue, and logistical arrangements
  • Coordinate client requirements with third-party suppliers, fostering strong relationships
  • Manage communications, including weekly status reports for internal and external teams
  • Travel and conduct on-site inspections, planning meetings, and event delivery nationally and internationally
  • Ensure compliance with regulatory and client-defined guidelines for all events

Client Liaison and Development

  • Build and maintain client relationships through meetings and open communication
  • Identify new business opportunities for the Client Engagement Director
  • Lead event proposal presentations to clients
  • Plan, attend, and facilitate client planning meetings (both in-person and virtual)
  • Prepare supportive planning materials for client meetings
  • Keep clients informed throughout the project lifecycle
  • Lead client debriefs post-event
  • Serve as a subject matter expert for client account support

Budget Management

  • Lead end-to-end event budgeting using company financial tools
  • Prepare and manage budgets throughout a project’s lifecycle
  • Approve client invoices before dispatch
  • Conduct financial tracking and health checks to ensure cash flow positivity
  • Manage scope changes, identifying and charging clients for out-of-scope activities
  • Identify and measure cost-saving opportunities
  • Ensure compliance with company and client invoicing policies
  • Ensure proper time logging for all projects

Staff Development and Management

  • Work with the Project Director to allocate resources and meet deadlines
  • Provide input on recruitment and mentorship for Project Managers and Project Executives
  • Conduct scheduled 1:1s with direct reports to ensure team support and client deliverables

General

  • Represent Emota as an ambassador of the agency
  • Actively participate in team meetings
  • Collaborate with other departments to achieve client and SLA objectives
  • Demonstrate understanding and adherence to mission, vision, and company values
  • Comply with all company and client regulations, including:
    • Health & Safety
    • Privacy and security
    • ABPI and PhRMA guidelines (essential when working with healthcare clients)
  • Apply environmental sustainability principles across all roles

Requirements

  • 5+ years of experience in managing and delivering corporate meetings/events (ideally internationally)
  • Proven expertise in budget management from creation to final reconciliation
  • Strong project management and resource coordination skills
  • A customer-centric approach to event delivery
  • Experience leading teams to achieve success
  • Proficiency in:
    • Event management software
    • Project management tools
    • Microsoft 365 suite, including Excel (ability to manage complex spreadsheets)
  • Flexibility and willingness to travel nationally and internationally, including on-site event coordination
  • Preference for experience working with Pharmaceutical/Healthcare clients
  • Ability to live within a commutable driving distance of Ashby-de-la-Zouch or Manchester for a minimum of twice a week
