# Meetings and Events Senior Project Manager

Brand: Emota

Location: Ashby-de-la-Zouch or Manchester (hybrid full-time, minimum 2 days on-site)

Reports to: Project Director Direct reports: Project Coordinators & Senior Project Coordinators


About the Role

As an experienced Senior Project Manager specialising in Meetings and Events, you’ll deliver global projects for prestigious clients using end-to-end project management skills while mentoring Project Executives to uphold the same standards.

Your role, involving national and international travel, covers client, supplier, team, and financial management at every stage—pre-event, on-site, and post-event.


Key Responsibilities

📍 Project Management

  • Lead projects from client, internal, and external partner perspectives
  • Manage small-to-medium-sized projects across Emota/XD service lines, acting as the key client interface for seamless delivery
  • Uphold highest standards in event planning by guiding Project Executives
  • Oversee app/website development and content management
  • Produce post-event metric reporting
  • Manage hotels, venues, and associated logistics
  • Coordinate with third-party suppliers, fostering strong relationships
  • Handle communications (e.g., weekly status updates for all stakeholders)
  • Conduct on-site inspections, vendor meetings, and event delivery
  • Attend national and international events in person
  • Ensure compliance with regulatory and client-specific guidelines

🤝 Client Liaison & Development

  • Build and maintain client relationships through meetings and open dialogue
  • Identify business development opportunities to escalate to the Client Engagement Director
  • Assist in creating and pitching event proposals to clients
  • Organise and execute F2F/virtual client planning sessions
  • Prepare supporting materials for client meetings (e.g., presentations/schedules)
  • Keep clients informed throughout meeting programming phases
  • Lead post-event client debriefs as a subject matter expert
  • Advise colleagues across accounts via specialist knowledge-sharing

💰 Budget & Financial Management

  • Manage end-to-end event budgets using company financial tools (forecasting, revisions, and reconciliation)
  • Approve all client invoices before submission
  • Track financial health per event via regular cash flow ‘health checks’
  • Implement scope management (identifying and billing out-of-scope services)
  • Identify cost-avoidance measures and savings
  • Comply with company/invoice financial policies
  • Ensure accurate timesheet logging per project

👥 Staff Development & Team Leadership

  • Work with the Project Director to allocate resources based on deadlines
  • Support recruitment of junior project teams (Project Managers/Executives) and provide mentorship input
  • Conduct 1:1 meetings with direct reports to ensure client deliverables and personal support

  • Act as an ambassador for the agency, fostering company culture
  • Participate actively in team meetings and cross-departmental collaborations
  • Align projects with client SLAs and agency goals
  • Uphold mission, vision, and company values
  • Comply with Health & Safety, privacy, and security protocols
  • Demonstrate awareness of compliance (critical for ABPI & PhRMA projects)
  • Apply sustainability best practices with environmental accountability

Key Requirements

  • 5+ years’ experience in managing corporate meetings/events (international experience preferred)
  • Proven track record in budget creation → financial reconciliation for events
  • Strong project management skills, including team/third-party coordination
  • Customer-focused mindset with a record of client success
  • Experience leading/mentoring teams
  • Proficiency in event management software (e.g., Eventbrite, Smith Event, etc.), Microsoft 365 (in particular*: Excel + complex spreadsheets), and project tools (*Trello, Apto/Breeze Automation, etc.**)
  • Willingness to travel nationally/internationally and manage rigorous on-site event schedules
  • A preference/experience working with Pharmaceutical/Healthcare clients
  • Ability to commute twice a week to either Ashby-de-la-Zouch or Manchester office
