About the Role
As an experienced Senior Project Manager specialising in Meetings and Events, you will play a critical role in planning global projects for our prestigious clients. Leveraging your project management expertise, you will ensure all logistical elements and associated budgets are delivered, while mentoring Project Executives to maintain the same high standards.
This international role involves:
- Comprehensive client, partner, supplier, and financial management across pre-event, on-site, and post-event phases
- Significant travel for site inspections, planning meetings, and event delivery—both nationally and internationally

Key Responsibilities
Project Management
- Lead projects from client, internal, and external stakeholder perspectives
- Oversee small to medium-sized projects across multiple Emota/XD service lines, acting as the main client contact for seamless delivery
- Ensure highest standards in event planning and delivery through leadership of Project Executives
- Manage custom app development and content creation
- Produce post-event metrics and reporting
- Coordinate hotels, venues, and all related logistics
- Align client requirements with third-party suppliers, fostering strong relationships
- Handle communications, including weekly status reports for internal & external partners
- Conduct on-site inspections (including planning meetings with suppliers and delivery)
- Attend live events, both nationally and internationally
- Uphold regulatory and client-defined compliance guidelines

Client Liaison & Development
- Develop strong client relationships through meetings and strategic communication
- Identify and share new business opportunities with the Client Engagement Director
- Contribute to event proposal presentations for clients
- Plan, attend, and execute client planning meetings (both in-person and virtual)
- Prepare supportive meeting materials for client discussions
- Keep clients informed throughout the event programme
- Lead post-event client debriefs
- Serve as subject matter expert to guide colleagues within accounts
Budget Management
- Oversee end-to-end event budgets in company financial tools
- Maintain budgets throughout the event lifecycle, including revisions and reconciliation
- Approve all client invoices before dispatch
- Conduct financial tracking and regular "cash flow health checks"
- Implement scope management (identifying and charging for out-of-scope activities)
- Identify cost-saving measures and financial efficiencies
- Ensure compliance with invoicing and financial processes
- Log project time accurate
Staff Development & Management
- Collaborate with the Project Director to prioritise resources and meet goals
- Support recruitment, mentoring, and development of Project Managers and Project Executives
- Conduct scheduled 1:1s with direct reports to ensure alignment, support, and deliverable success
General Duties
- Act as an ambassador for Emota, embodying its mission, vision, and values
- Contribute to team meetings and cross-departmental collaboration for client success
- Ensure timely completion of client SLAs for all events
- Maintain compliance with company and client procedures, including Health & Safety, privacy, and security
- Apply specialised knowledge of ABPI/PhRMA guidelines when working with healthcare clients
- Emphasise environmental sustainability in all work

Business Requirements
Essential Criteria:
- 5+ years’ experience in managing and delivering corporate meetings and events (preferably internationally)
- Proven ability to manage event budgets (creation, revisions, and reconciliation)
- Strong experience in project management, resource coordination, and customer-centric event delivery
- Leadership track record, including training and mentoring teams
- Proficiency in:
- Event management software
- Microsoft 365 suite (including Excel and complex spreadsheet management)
- Capacity for flexible travel (national & international) with ability to manage tight schedules
- Preference given to candidates with Pharmaceutical/Healthcare sector experience
- Ability to commute to Ashby-de-la-Zouch or Manchester offices at least 2 days per week
