Location: Ashby-de-la-Zouch or Manchester (hybrid full-time with a minimum of 2 days a week in your nearest office)
Reports to: Project Director
Direct reports: Project Coordinators and Senior Project Coordinators
About the Role
As an experienced Senior Project Manager specialising in Meetings and Events, you will play an important role in the planning of global projects for our renowned clients. You will use your project management skills to achieve all logistical elements and associated budgets of our projects, whilst mentoring Project Executives to follow the same.
The role, which includes national and international travel, will involve client, partner, supplier, team, and financial management at all stages of the delivery—pre, on-site, and post-event.
Key Responsibilities
Project Management
- Lead the project from a client, internal team, and external partner perspective
- Lead small to medium-sized projects involving multiple Emota/XD service lines, as the main client contact to ensure seamless delivery
- Ensure the highest standards of event planning and delivery, guiding Project Executives to succeed
- Oversee the development of apps and content
- Manage post-event metric reporting
- Manage all hotel and venue arrangements and related logistics
- Co-ordinate client requirements with third-party suppliers, fostering strong relationships
- Manage internal and external communications, including weekly status reports
- Conduct on-site inspections and planning meetings with suppliers
- Attend on-site event deliveries both nationally and internationally
- Ensure regulatory and client-defined compliance guidelines are followed

Client Liaison & Development
- Build and maintain relationships with clients through meetings and communication
- Identify new business opportunities and leads for Client Engagement
- Assist in presenting event proposals to clients
- Plan, attend, and manage client planning meetings (both face-to-face and virtual)
- Prepare materials to support client planning discussions
- Keep clients informed about all planning progress throughout the process
- Lead post-event debriefs and provide subject matter expertise for accounts
- Support colleagues across client accounts as an SME
Budget Management
- Manage the full end-to-end event budget within company financial tools
- Prepare, maintain, and revise budgets throughout each project lifecycle
- Approve all client invoices before dispatch
- Track financials and monitor cash flow via regular health checks
- Implement scope management to capture additional client charges
- Identify cost-saving and avoidance strategies
- Follow company and client invoicing and financial processes
- Track and log personnel time against projects
Staff Development & Management
- Work with the Project Director to prioritise resources effectively
- Help recruit Project Managers or Executives and contribute to mentoring efforts
- Conduct regular 1:1 meetings with reports to ensure alignment and high performance
General Responsibilities
- Act as a company ambassador, representing Emota professionally
- Participate in team meetings and contribute to shared goals
- Collaborate cross-functionally to meet client and internal service level agreements (SLAs)
- Observe and uphold Emota’s mission, vision, and values
- Comply with company and client procedures (such as Health & Safety, privacy, and security protocols)
- Maintain awareness of ABPI () and PhRMA guidelines when working with healthcare clients
- Promote environmental sustainability in all actions

Qualifications & Experience
To excel in this role, you will:
- Have 5+ years of experience managing and delivering corporate meetings and events (internationally preferred)
- Be able to create, monitor, revise, and reconcile event budgets
- Demonstrate expertise in event project management and resource planning
- Take a customer-centric approach to delivery
- Lead teams effectively towards successful event outcomes
- Be proficient in event management software, project tools, and Microsoft 365 (including advanced Excel spreadsheet use)
- Flexibility to travel internationally on tight schedules required
- Preference for experience working with pharmacutical/healthcare clients
- Live within commutable driving distance for 2+ days/week in Ashby-de-la-Zouch or Manchester
