Meetings & Events Associate Director
Global Meetings & Events Associate Director
This role will drive the delivery of the Global Meetings and Events and Corporate Services strategy by overseeing preferred meeting vendor performance and implementation to ensure diligent and compliant service and execution for Vertex, process excellence & project management across Corp Services while fostering strong relationships with global teams and suppliers. This role is expected to:
- Identify, evaluate, and deliver solutions that align with Vertex’s mission, meeting current and future business needs on a global scale.
- Establish the operational governance and ways of working that enable consistent, compliant, and scalable meetings delivery.

Key Duties & Responsibilities
- Advanced project management:
- Manage multiple projects and processes within Corporate Services globally.
- Agency management leadership:
- Support delivery, ensuring quality, compliance, consistency, and value.
- Update processes for efficiency and provide internal/external training to align with Global Meetings & Events goals.
- Service standards & vendor oversight:
- Establish clear expectations for partners.
- Monitor agency performance, act as an escalation point for challenges, and drive improvements.
- Process & compliance governance:
- Develop processes, templates, and resources to enable scalable delivery with Corporate Services leadership.
- Complex meeting planning:
- Oversee preferred logistics agencies for large, high-touch meetings across regions.
- Logistics & compliance support:
- Guide team members, vendors, and business owners on HCP compliance, cost transfer, and strategic alignment.
- Collaborate with cross-functional teams to set clear expectations for deliverables.
- Risk resolution & performance analysis:
- Address day-to-day and complex issues related to vendor management.
- Identify efficiency opportunities through data-driven insights and regional harmonization.
- Strategic supplier partnership:
- Consult with Business Owners on goals and objectives to provide tailored solutions.
- Stay ahead of industry trends in Corporate Services and technology adoption to implement continuous improvements.
- Compliance vigilance:
- Ensure full adherence to internal guidelines, HCP compliance, GDPR, and reporting transparency rules.
- Travel readiness:
- Be prepared for 30–40% domestic and global travel.

Required Educational Level
- Bachelor’s Degree (any field)
Required Experience
- 10+ years in meeting & event planning or Corporate Services
- Prior experience in Pharmaceutical/biotech preferred
- Advanced supplier and vendor management background
Required Knowledge & Skills

- Advanced organizational & time management skills—managing multiple stakeholders/vendors simultaneously

- Strategic execution—translating goals into actionable resources and metrics
Technical & Operational
- Exceptional RFP & contract negotiations with a proven track record of securing favorable terms (flexibility, cost savings, service quality)
- Strong HCP Compliance knowledge—identify risks, escalate concerns, and enforce adherence to guidelines
- Analytical mindset—interpret data trends, recommend optimizations, and present findings visually
- Agility in ambiguity—thrive in a fast-paced environment with competing priorities

Additional Skills (Highly Preferred)
- Proficient in Microsoft Office Suite
- Working knowledge of Cvent event management platform
- Certifications (CMP or CMM—not mandatory)
- Vendor/project management experience
