CBRE Global Workplace Solutions is a leading global provider of integrated facilities and corporate real estate management. We deliver facilities solutions to ExxonMobil globally, including five UK fuel terminals. The Midstream Operations Support role is part of a team delivering services across UK Midstream, supporting financial processes (Purchase-to-Pay), document management systems (SAP, SharePoint, OIMS/CIMS), and health and safety activities. The role involves regular interaction with client stakeholders, managing data and documentation, acting as an Ergonomic Lead, and ensuring high-quality service delivery while continuously identifying opportunities to improve and exceed customer expectations.
What You’ll Do
- Act as a key point of contact for contract owners, Procurement, Payables, Buying, Strategic Buying, vendors, senior Midstream management, Financial Analysts, TM’s, and DTM’s—troubleshooting issues and responding to queries.
- Support the Purchase-to-Pay (PtP) process in collaboration with Procurement and Payables teams.
- Manage Midstream blanket purchase orders, ensuring all annual POs are raised and maintained in line with business requirements and deadlines.
- Oversee purchase order requests, ensuring all submissions include accurate financial coding and up-to-date vendor details.
- Steward and manage the UK PtP Support mailbox, ensuring timely response and resolution of queries.
- Create, design, and maintain SharePoint sites; act as a subject matter expert for SAP procurement issue resolution.
- Manage critical documentation within OIMS and CIMS systems, including the processing and publishing of new and revised procedures and manuals.
- Maintain and steward the Managed Document Register to ensure accuracy and compliance.
- Ensure document management processes comply with RMG, MPI, confidentiality requirements, and database record standards.
- Manage WCP permits, checklists, and tags—ensuring they are updated, stocked, and distributed as required.
- Coordinate and minute CBRE monthly meetings.
- Organise events, including conferences, liaising with EMs personnel to meet all requirements.
- Act as Ergonomic Lead for all Hythe Terminal and Block 22 personnel.
- Steward monthly starter/leaver meetings.
- Conduct asset independent verification activities.
- Maintain and update distribution lists to ensure accuracy.

What You’ll Need
- SAP Purchase to pay experience
- Strong experience creating and managing SharePoint and Extranet sites, including structure, permissions, and functionality.
- Advanced proficiency in MS Office Suite
- Over 4 years’ administrative experience supporting corporate clients in a fast-paced environment.
- Proven ability to work independently, manage competing priorities, and meet deadlines under pressure.
- Highly organised with strong analytical skills and excellent attention to detail.
- Confident stakeholder communication skills, including engagement with senior management.
- Demonstrated commitment to Health & Safety standards and compliance.
- Customer-focused approach, delivering high-quality internal and external service.
- Awareness of data protection, controls, and governance requirements.
- Continuous improvement mindset with a focus on adding value and driving efficiencies.
