Role Summary
Reporting to the Regional FM Lead, the Senior Mobile Facilities Manager (FM) ensures operational excellence across properties through compliance, service execution, and occupant engagement. With a keen focus on budgeting, contract management, and environmental compliance, this role bridges technical expertise and exceptional customer service, championing sustainable and person-centred building management.
Responsibilities
General Duties
- Service Compliance: Oversee property services to align with lease agreements and collaborate with the Management Surveyor to adhere to RICS guidelines.
- Budget Coordination: Prepare, monitor, and rectify service charge budgets as per the RICS Code of Practice.
- Occupant Relations: Maintain regular communication with occupants, updating tenant contacts and safety lists proactively.
- Customer Experience: Deliver exceptional service to occupants, clients, and resources through REFIM software.
- Property Inspections: Conduct routine inspections of common areas and facilities per assigned responsibilities.
- Fault Management: Proactively handle daily fault reports and Servicedesk interactions.
- Contract Performance: Review supplier SLAs and KPIs monthly to evaluate performance metrics with the Regional FM Lead.

Insurance & Risk Management
- Claim Coordination: Lead insurance claims processes in collaboration with Management Surveyors.
- Compliance Reporting: Support site-specific reporting per the Management Surveyor’s instructions.
Compliance and Safety
Ensure adherence to H&S regulatory standards, maintaining:
- Annual Health and Safety Risk Assessments
- Asbestos Registers and Management Plans
- Fire Risk Assessments or Audits
- Legionella Assessments
- Fire Safety, Water Hygiene, and Fire Safety records
- ** contamination *Permit to Work coordination**
Rotational Check and Document Witnessing of:
- Weekly fire alarm tests
- Emergency light tests
- Sprinkler system inspections
- Fire evacuation drills
- Additional fire preventative measures
Unsafe Condition Reporting: Escalate concerns promptly to the Facilities Management team.
Environmental Excellence
- Utility Review: Audit and optimize energy and water consumption, aligning with sustainability policies.
- Audits & Initiatives: Conduct property audits to enhance security, energy efficiency measures, and maintenance.
Contract Management
- Supply evaluation and performance monitoring.
- Regrospective benchmarking for contract suitability, construction resources, and cost management.

Budget Governance & Reporting
- Ten-Year Plan Coordination: Work with clients and Senior Teams to enable long-term service planning.
- Repair & Upgrade Prioritization: Set relevant priorities while budget-constrained to ensure alignment with Senior Management Teams.
- Budget Approval and Monitoring: Govern service charge expenditure and ensure adherence after consultation.
Requirements
Key Skills
- Proven communication, leadership, and organizational prowess.
- Proficiencies in current IT systems and Inspection/refim software.
- Proven background in Facilities and Property Management, particularly across multi-site or mixed-use portfolios.
- Technical curiosity—though not mandatory, exposure to project-based tasks or utilities is advantageous.
Essential Knowledge
- Certified in IOSH Managing Safely (preferably, training provided if deficient).
- Experience in large multi-site operations and team collaboration.
