The Role: Mobile Facilities Manager
Overview
Reporting to the Regional FM Lead, this dynamic role blends operational leadership, client relationships, compliance, contract management, and sustainability. You’ll drive excellence in properties across multiple locations while championing standards of service, safety, and environmental responsibility.
General Duties
Responsibilities will include, but are not limited to:
- Ensure lease compliance/scope is upheld, working alongside the Management Surveyor.
- Collaborate to prepare, monitor, and reconcile service charge budgets, per RICS Code of Practice.
- Proactively engage stakeholders, maintaining up-to-date tenant contacts, key holders and fire safety registers.
- Deliver exceptional occupier/client service and non-technical tenant communications.
- Inspect properties (including common areas) via REFIM software, recording defects and actions.
- Proactively manage faults via Servicedesk and monitor contractor SLA/KPIs.
- Study/report building-level metrics: energy, water consumption; and inspire sustainable operations.
- Liaise with local authorities, regulators, contractors, and agencies on behalf of building operation.
- Develop reports, support strategic projects with data, and run assigned properties during cover.

Key Accountabilities
Contract Management
- Own supplier accountability: contract performance, SLA/KPI monitoring, tendering, and cost-value benchmarking.
- Review site records, contracts, and bridging documentation, evidencing progress against SLAs.
- Engage in peer-to-peer benchmarking on contract efficiency.
Compliance & Health & Safety
Maintain flawless documentation for risk management across assigned properties:
- Annual:
- Health & safety audits
- Asbestos registers (and controlled operations)
- Regularly:
- Fire risk audits/tests (fire alarms, emergency lighting, sprinklers, evacuation drills)
- Water hygiene documentation
- PTW records and operational permits
- Spot-checks/oversight of mechanical/electrical maintenance; fire safety compliance.
- Promptly report unsafe acts/risk to Facilities Management.
Environmental & Sustainable Operations
- Collaborate with energy consultants on consumption reports and Avison Young Environmental Policy.
- Audit property performance for waste/energy efficiency initiatives to enhance building longevity.
Budget Advice
Key liaison for staff and client teams regarding:
- Planning long-term service cost expenditure for 10-year service charge forecasts.
- Prioritise repairs, renewals, and sustainable upgrades in sync with senior teams.
- Oversee monthly spending$, ensuring adherence to budgets (racially notified at least 14 weeks pre-year end).
Additional Responsibilities
Fabric of your role includes collaborative projects and supporting other clients/properties.
Key Skill Requirements
- Soft Skills:
- Communication, team leadership (multi-site FM environments).
- Exceptional customer service in client/occupier engagement.
- Interpersonal agility when managing service partners.
- Adaptability and passion for technical aspects of facilities management.

- Functional Proficiency:
- Mixed-use portfolio experience (preferably within commercial real estate).
- Technical background or interest (not mandatory: curiosity will suffice).
- Utilities/energy management (previously handled utilities a plus).
