Job Description
The Ministry of Defence Medal Office (MODMO) is part of Defence Business Services and is responsible for administering all MOD-related medallic recognition, as authorised by The Sovereign, to UK Service personnel, veterans, their families, MOD civilians and contractors.
MODMO provides a range of services to its customer base including medal assessments, assisting with enquiries, and issuing physical medals. This includes medals for operational service from WW2 to current day operations, plus some WW1 and inter-war campaigns, together with long service and efficiency medals.
As Part Of This Busy Team, You Will Be Required To Provide Support To The Team Leaders For The End-to-end Process Of The Issuing Of Medals/awards. Duties Include:
- Process incoming mail and book onto database, including sending letters of acknowledgement, requests for further documentation or sending out application forms.
- Liaise with external agencies and Other Government Departments (e.g. The National Archives and Disclosure Cells) regarding the retrieval of Service documents, medal cards and other documentation.
- Accurately assess the entitlement of veterans, Serving personnel, their next of kin and MOD civilians for the area of expertise, i.e. Royal Air Force, Army and Royal Navy and provide timely and relevant correspondence concerning the outcome of the assessment where required.
- Update the MODMO database and JPA as necessary for assessments and highlight issues and errors to Team Leader.
- Deal with letters, telephone and email enquiries from Service personnel, veterans and their families regarding eligibility of the award.
- Provide support to the Team Leader regarding input on Ministerial Correspondence and Treat Official subjects as well as provide input for Freedom of Information (FOI) requests.
- Provide support to the Stock, Engraving and Despatch area, ensuring accuracy and confirming the correct type of award.
- Assist the team leader ensuring that awards are despatched in accordance with Key Performance Indicators (KPIs) and Service Level Agreements (SLAs).
- Provide statistical information to Line Managers on a weekly basis or as required

Person specification
Desirable:
- A good understanding of IT as applications are processed through networked PC’s using bespoke databases and MS/Oracle based software packages.
- Previous experience of working alongside the Military or an interest in military medal and historic British conflicts.

The post does not offer relocation expenses.
External recruits who join the MOD who are new to the Civil Service will be subject to a six-month probation period.

Behaviour examples requires more than just information about what you did, it requires you to explain. There are many different approaches you could take to writing behaviours, such as the STAR, or the CAR method. As to which one you chose to use, it’s all down to your personal style of writing. Within the Civil Service, the most common approach is: The STAR method.
Using the STAR method, allows you to set the scene, show what and how you did and the overall outcome. The job holder (and later the interviewer) will use this method to gather all the relevant information about a specific capability that the job requires.
Situation - Describe the situation you found yourself in. You must describe a specific event or situation. Be sure to give enough detail for the job holder to understand.
Where are you? Who was there with you? What had happened?
Task - The job holder will want to understand what you tried to achieve from the situation you found yourself in.
What was the task that you had to complete and why? What did you have to achieve?
Actions - What did you do? The job holder will be looking for information of what you did, how you did it and why. Keep the focus on you. What specific steps did you take and what was your contribution? Remember to include how you did it, and the behaviours you used. Try to use “I” rather than “we” to explain your actions that lead to the result. Be careful not to take credit of something that you did not do.
Results - Don’t be shy about taking credit for your behaviour. Quote specific facts and figures easily understandable.
What results did the actions produce? What did you achieve through your actions and did you meet your goals? Was it a successful outcome? If not what did you learn from the experience?
