Mortgage Case Manager (Buy To Let)

About the Role

As a Case Manager at Quantum Mortgages, you will be responsible for managing mortgage applications from initial receipt through to completion. You’ll ensure all cases are fully packaged, compliant with internal policies, and aligned with regulatory requirements before undergoing underwriting assessment. This role requires strong communication skills, meticulous attention to detail, and a deep understanding of mortgage processes, particularly in the Buy-to-Let (BTL) sector.

Key Responsibilities

  • Process mortgage applications to predefined service level agreements, from initial intake to completion.
  • Proactively manage a case pipeline, ensuring timely progress through all stages, including pre-feature and underwriting assessments.
  • Assess supporting documentation, identifying issues requiring escalation to the underwriting team.
  • Provide first-class service via telephone, email, and correspondence with stakeholders such as brokers, service suppliers, reference providers, and clients.
  • Maintain accuracy for data entry and meticulous record-keeping throughout the mortgage lifecycle.
  • Collaborate with the underwriting team and colleagues to deliver compliant, compliant, and timely decisions at every stage.

What We’re Looking For

Skills & Competencies

  • Technical Knowledge

    • Comprehensive grasp of the mortgage lifecycle, from application to completion.
    • Advanced expertise in Buy-to-Let (BTL) lending, including Limited Company, HMO, and Multi-Let structures.
    • Familiarity with Anti-Money Laundering (AML) regulations, financial crime indicators, and compliance measures.
    • Strong understanding of Quantum Mortgages’ lending policies, procedures, and product criteria.
    • Awareness of regulatory requirements and industry best practices.
  • Decision-Making & Problem-Solving

    • Ability to independently evaluate mortgage applications against internal standards.
    • Critical thinking to justify decisions with logical reasoning.
    • Identify and escalate complex or high-risk cases effectively.

Qualifications & Experience

Essential

  • Proven experience in customer service or sales administration.
  • Knowledge of mortgage regulations and compliance requirements.

Desirable

  • Direct experience in mortgage processing or case management.
  • CeMAP qualification or equivalent mortgage credential.
  • Background in financial services, banking, or lending, particularly with specialist intermediaries.
  • Hands-on experience with buy-to-let/hype-to-let structures (e.g., portfolio landlords, SPVs).
