MST Workflow Specialist

We have an exciting opportunity for a MST Workflow Specialist to join the Marketing team, based in the A&O Shearman Belfast office.

The Marketing Solutions Team (MST) sits within the Global Business Development, Marketing & Communications function. Our business development, marketing and communication teams contribute to the setting and achievement of the firm's business objectives, which includes supporting our partners and associates in their pursuit of becoming our clients' trusted advisers, building and maintaining long-lasting, deep institutional client relationships, winning new clients, increasing the visibility of the firm globally, and positioning the firm as the thought leader and most advanced law firm among the global elite law firms.

The function works as one team across the globe with very close collaboration between the central teams and professionals supporting offices, practice groups, sectors and clients.

What you will do

We are seeking an enthusiastic and motivated Workflow Specialist to join the MST, who will play a critical role in supporting the delivery of marketing and business development services by ensuring smooth coordination, efficient task management, and timely delivery of high quality outputs. This position requires strong organisational skills, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.

The role will require someone who is highly organised, efficient and keen to work in a dynamic and fast-paced environment.

The job will include, but not be limited to:

  • Acting as the central point of coordination for MST workflows, ensuring tasks are assigned, tracked and completed in line with agreed service levels.
  • Monitoring team capacity and workload distribution to support effective resource planning across the MST.
  • Managing workflow systems, queues, reports and dashboards to ensure visibility of activity and performance.
  • Liaising with internal stakeholders to clarify requirements, prioritise requests and facilitate efficient delivery of services.
  • Monitoring deadlines and proactively addressing bottlenecks to keep work progressing and minimise delays.
  • Supporting onboarding and training activities relating to MST processes, systems and ways of working.
  • Identifying opportunities to improve workflow efficiency, service delivery and team effectiveness.
  • Producing and analysing workflow and performance data to support operational decision-making and continuous improvement initiatives.
  • Supporting quality assurance and process compliance across MST activity.
  • Acting as a point of escalation for workflow related queries and operational issues.
  • Supporting the governance of MST services, ensuring processes, guidance, templates and service documentation remain accurate, up to date and aligned with agreed operating standards.

Working hours for this role will be 9:30am-6:00pm, Monday to Friday.

What you will have

  • Experience within a professional services environment.
  • Strong organisational and time management skills.
  • Experience with workflow, service management or project management tools.
  • Excellent communication and stakeholder management abilities.
  • Ability to work under pressure and manage multiple deadlines.
  • Familiarity with marketing or business development processes is desirable.
  • Knowledge of a law firm and relevant product areas would be advantageous.
  • Proven project management capability, with a track record of prioritising complex workloads and meeting multiple concurrent deadlines in a fast-paced environment.
  • Strong analytical skills with the ability to interpret workflow data and identify trends or opportunities for improvement.
  • Demonstrable advanced proficiency in Microsoft Office applications, particularly Excel, PowerPoint and reporting tools.
  • Sense of responsibility, accuracy and confidentiality.
  • A hunger to learn and take on all tasks that will support the success of the team.
  • Strong team player with a proactive and collaborative approach.
  • Commitment to delivering a high quality internal client experience.
