Multi Services Assistant
Salary: £26,227.50 per annum plus company benefits
Location: Birmingham, B4
Contract: 6 month Fixed Term Contract, Full Time
Shifts: 37.5 hours per week, Monday to Friday working rotating shifts between 8.30am and 6.00pm with 1 hour unpaid lunch break
Work Model: Fully onsite
Williams Lea seeks a Multi Services Assistant to join our team! Williams Lea is the leading global provider of skilled, technology-enabled, business-critical support services, with long-term trusted relationships with blue-chip clients across investment banks, law firms and professional services firms. Williams Lea employees, nearly 7000 people worldwide provide efficient business services at client sites in often complex and highly regulated environments, from centralised Williams Lea onshore facilities, and through best cost company offshore locations.
Purpose of Role
The role of Multi Services Assistant is a key position in Williams Lea, providing professional office services, reprographics, print and mail room services, plus general administrative tasks, offering excellent customer service to all our customers. The Multi Services Assistant will ensure work is carried out to the highest standard and produced correctly within the agreed deadline, maintaining a proactive relationship with our customers, ensuring queries and issues are dealt with in a timely and professional manner.
Key Responsibilities
Mail Room Services
- Ensuring that the post deadlines are kept to
- Sort and distribute incoming, sort and stamp outgoing mail
- Record all incoming/outgoing special mail, messenger, and courier companies
- Arrange all deliveries and collection times with mail, messenger, and courier companies
Reprographics/Scanning
- Prioritise jobs and run them to meet customer requirements and deadlines
- Provide high quality photocopying and scanning as per customer instructions
- Copy documents using large Photocopiers
- Scan documents using large scanners

Print Room Services
- Manage outlook inbox and email customers if required
- Reschedule deadlines with customers
- Enter job details onto a workflow application accurately
- Quality check documents so they are of a high standard with minimal errors
- Maintain equipment to a good working order and troubleshoot problems, place service calls when needed
- Follow all stock and consumable procedures. Replenish copiers with all consumables
Customer Service
- Deal with any customer enquires in a prompt and efficient manner
- Accept requests for Williams Lea work, notifying customers of estimated completion time as appropriate
- Anticipate customer’s needs and offer assistant wherever possible
- Communicate with customers on job or deadlines issues
- Manage client perception and company reputation
Working in a Customer service HUB and independently
Personal attributes
- Previous Post room and Reprographics experience would be preferable
- Well presented, with excellent communication skills.
- Strong administration skills and fully conversant with Microsoft packages such as Word and Excel
- Strong customer focus
- Capable of taking initiative and developing solutions
- Flexible and enthusiastic, self-starter who is keen to progress with a fast-growing company
- Able to work alone as well as within a team
- Attention to detail, ability to retain high concentration levels for extended periods of time
